Responsibilities:
· Prepare and process sales orders and/or quotes received from Account Managers and customers.
· Schedule all orders with Production Scheduler to meet customer expectations.
· Prepare files as required for Production Team.
· Provide telephone and in person support to customers.
· Assist Account Managers with invoicing issues.
· Assist walk in customers with orders, including processing payments and picking small orders.
· Provide assistance and coverage to co-ordinate and maintain schedules.
· Provides production schedule updates and changes as per customer requirements or sales staff direction.
· Problem solving, strategic planning to improve processes using provided software to generate reports and schedules.
· Notify sales staff/customer of shortages, scheduling changes, and other issues.
· Work closely with the production manager to provide quick responses to production issues.
· Maintain and help improve, current file and record system both electronic and paper correspondence and documents.
· Provide administrative support to Production Manager, supervisors and shipping as required.
· Update production schedule to accurately represent orders being built.
· Log out built lumber, floor and customer pick up orders upon completion.
· Order and maintain office supplies.
· Create and receive purchase orders as required.
· Ensure all production documents are complete and available to each department.
· Adhere to ZyTech’s safety, quality assurance and standard operating procedures and policies.
· Other tasks as assigned by your manager.
Required Skills/Abilities:
· Knowledge in the application of engineered wood product (I-joist, LVL and truss) systems, stairs, tall wall, and conventional lumber packages would be considered an asset.
· Organized with an eye for detail.
· Strong problem-solving and critical thinking skills.
· Able to communicate in English effectively, and articulately both verbally and in writing.
· Knowledge of computer software coupled with strong data entry skills, and accuracy.
Education and Experience:
· Demonstrated experience as an office administrator, or other clerical position.
· High School diploma, or equivalency
