Office Admin/ Operations Generalist
About the role
We are recruiting an OFFICE GENERALIST for our team - someone who is willing to learn and can bounce around different functions, including supporting service, resolve client issues, manage maintenance contracts etc. As a small, nimble team, the candidate will learn all aspects of our business and have the opportunity to craft your own career path within the organization.
Previous experience in HVAC is great, but not required. As long as you're willing to learn, you will do just fine!
Responsibilities Lead preventative maintenance contract admin, renewals, scheduling and reviews. Collaborate with the other team members (Dispatcher, Supervisor, Sales etc) to plan, organize, and supervise client services. Support in service planning and scheduling alongside the Preventive Maintenance (PM) contract schedule. Ensure the supply of parts is sufficiently stocked and with the respective team members. Support accounts receivable and accounts payable with processing invoices and purchase. orders, and engaging with customers to resolve any issues related to service or billings. Support in preparing new contracts, renewing existing contracts, scheduling maintenance visits, billings for Preventive Maintenance (PM) clients. Support in maintaining documentation and records for service calls and PM visits. Perform other job-related duties as assigned.
Qualifications Previous role in an operations or service environment (prior HVAC experience is an asset). Strong verbal and written communication skills. Experience with technology tools such as Pipedrive, ERPs, MS Office tools.
