Administrative Assistant/Receptionist (Part-Time, Weekends) Department: Multiple Locations Employment Type: Permanent - Part Time Location: Other Programs Compensation: $17.60 / hour

Description Job Summary:

The Administrative Assistant & Receptionist is responsible to provide ongoing receptionist and administrative support to Reena at an assigned work location and provide back up support where required. Duties will include, but not limited to serving all visitors, residents and staff in a welcoming manner and directing them appropriately, notifying staff/residents of visitor arrival, maintaining telecommunications systems, responding to both internal and external inquires, mail and parcel delivery tracking and management, scheduling meetings and appointments and working collaboratively with staff and external visitors while operating in a professional and respectful manner that promotes the mission, mandate and values of Reena.

Please be advised we are hiring for two (2) Part-Time Administrative Assistant & Receptionists and the ideal candidates would be available to work: Friday (4:00PM-9:00PM) Saturday (9:00AM-9:00PM) Sunday (9:00AM-9:00PM) (shifts are subject to change)

Job Responsibilities: Provides reception and greeting for incoming visitors and staff both in person and in electronic forums Provides administrative support, including general filing, inputting electronic data/information, preparing and distributing computer documents (public service announcements, memos), letters and other documents as required Updates all related forms and data/information Develops and monitors clerical related system to increase efficiency of department Creates reports as required Assists in preparation for compliance audits Procures supplies for department as needed Coordinates meetings for team Records and prepares meeting minutes Provides training and mentorship to potential trainees for the role Other administrative duties as assigned in relation to departmental needs

Formal Education and Experience: Minimum of 2-3 years of administrative experience Diploma in a related field General knowledge of non-profit environments preferred Experience with the developmental sector preferred Basic knowledge of Judaic customs (an asset) Proficient in technological uses, including but not limited to the use of Microsoft Office Suite, spreadsheets, internet research and social media
