Position Summary
We are seeking a dependable and detail-oriented Administrative Assistant to support daily operations and act as a first point of contact for clients. This role is ideal for someone who is organized, professional on the phone, accurate with details, and comfortable helping people through difficult conversations.
You will help keep the office organized, ensure clients feel heard and supported, and assist the team in moving files forward efficiently.
What You Will Do
Client Communication
· Answer incoming calls professionally and kindly
· Respond to emails and messages clearly and promptly
· Handle sensitive conversations with patience and empathy
· Direct clients to the correct next step and document communication accurately
Scheduling and Coordination
· Book and manage consultations and follow-up appointments
· Maintain calendars and support daily scheduling needs
· Send reminders, confirmations, and follow-up messages
· Help ensure the right information is ready before appointments
File and Document Support
· Organize client documents and maintain accurate case files
· Scan, save, name, and file documents correctly
· Identify missing information and flag issues for follow-up
· Maintain confidentiality and protect sensitive client information
General Administrative Support
· Track tasks, reminders, and client needs
· Assist with intake forms and basic case support
· Support advocates and senior staff with administrative tasks
· Help maintain an organized and professional office environment
Required Qualifications
· At least one year of experience in office administration, reception, scheduling, intake, professional client service, or a closely related role
· Strong verbal communication skills and a professional phone manner
· Clear writing skills and the ability to take accurate notes
· Excellent organization, time management, and follow-through
· High attention to detail and accuracy when working with documents
· Comfort handling confidential and sensitive information
· Strong computer skills, including Microsoft Word, Outlook, and basic data entry
· Ability to work full-time in person at the DCAC office just outside Regina
· Ability to provide a clean criminal record check if requested
Strong Assets
· Experience in a healthcare, legal, insurance, social services, disability, advocacy, or case-based office
· Experience with client intake, case coordination, or appointment scheduling
· Familiarity with disability claims, government programs, CPP Disability, or medical terminology
· Experience using CRM, case management, or document management systems
