Position Overview EcoLogic is seeking an Executive Assistant / Office Administrator to join our Burnaby office. This position plays a critical role in supporting executive leadership, coordinating office operations, and ensuring the smooth day to day functions of a growing consulting organization. The successful candidate will be highly organized, proactive, and capable of managing multiple priorities while maintaining exceptional attention to detail. This role will provide administrative support to senior leadership, coordinate office logistics and facilities, support staff onboarding and operational processes, and serve as a key point of coordination between teams across the organization. The ideal candidate is a strong communicator who enjoys creating efficient systems, solving problems, and contributing to a positive and professional workplace culture.
Location This position is based full-time at our Burnaby location: Unit 113 & 114-8331 Eastlake Drive Burnaby, BC V5A 4W2 Applicants must be a Canadian citizen or permanent resident of Canada.
Key Responsibilities and Requirements
Executive and Administrative Support Provide administrative support to executive leadership and senior management. Coordinate meetings, schedules, travel arrangements, and related logistics. Prepare correspondence, meeting materials, presentations, and other administrative documents. Assist with internal communications and organizational initiatives. Maintain confidential records and sensitive business information. Office Administration and Operations Coordinate and assist management and staff in day-to-day office operations and administrative functions. Coordinate office upkeep, supplies, purchasing, and inventory management. Assist with office facilities management, equipment coordination, and workspace organization. Plan, organize, and prioritize workload across multiple tasks and deadlines. Support the development and maintenance of administrative policies, procedures, and organizational systems. Assist with onboarding activities and administrative support for new employees. Team and Project Support Assist management and staff with administrative activities. Coordinate logistics for meetings, training sessions, and company events. Support project teams with document management and organizational tasks. Serve as a welcoming and professional point of contact for employees, clients, and visitors. Foster a positive and organized workplace environment that supports collaboration and productivity.
Minimum Skills and Experience Minimum five years of experience in office administration, executive assistance, business operations, or a related role. Advanced proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. Experience supporting senior leadership and managing multiple priorities in a professional environment. Experience coordinating office operations, facilities, assets, and administrative systems. Ability to multitask and manage multiple deadlines effectively. Strong organizational, planning, and time-management skills. Excellent written and verbal communication abilities. Strong problem-solving abilities and attention to detail. Valid driver's license. Ability to work independently with limited supervision while collaborating effectively with diverse teams. Positive attitude and willingness to learn.
Preferred Skills and Experience Post-secondary education in Business Administration, Office Administration, Communications, Human Resources, or a related discipline. Experience supporting professional services, consulting, engineering, environmental, or technical organizations. Experience coordinating employee onboarding, office systems, and organizational processes. Familiarity with project-based business environments and multidisciplinary teams. Experience with document management systems and collaborative workplace technologies.
Compensation and Benefits Annual salary of $65,000–$80,000, depending on experience and qualifications. Comprehensive benefits package. Full-time position with a flexible schedule of 30–40 hours per week. In-office position based in Burnaby, BC.
