Job Description Administrative Assistant Location: Calgary, AB Shift: Standard Hours of work are 8:15 to 4:30 pm with a 1 hr lunch break, Alberta time, Monday through Friday
We are seeking a detail-oriented Administrative Support Specialist to provide administrative and operational support to our team. The ideal candidate will be responsible for managing correspondence, processing documents, maintaining accurate records, and supporting daily office operations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information while working efficiently in a fast-paced environment.
Key Responsibilities: Provide administrative support to program staff and management. Process, scan, file, and maintain electronic and physical documents. Manage incoming and outgoing mail, courier services, and correspondence. Perform accurate data entry and maintain confidential records. Track, organize, and prepare documents for management review and approval. Maintain office supplies, forms, and other administrative resources. Respond to routine inquiries and direct requests to the appropriate department. Support program documentation, verification activities, and record management. Ensure compliance with established administrative procedures and confidentiality standards. Assist with special projects and other administrative duties as assigned.
Required Skills: Strong organizational and time-management skills. Excellent attention to detail and accuracy. Effective verbal and written communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook). Experience with data entry and electronic document management systems. Ability to prioritize tasks, meet deadlines, and work independently or as part of a team. Ability to maintain confidentiality and handle sensitive information professionally.
