Role Description The Administrative Assistant will provide day-to-day administrative support to advisors and team members in the Burlington, ON office. This full-time, on-site role includes managing schedules, organizing meetings, preparing and formatting documents, and maintaining accurate records and files. The role involves answering and directing phone calls, greeting visitors, handling incoming and outgoing mail, and supporting client onboarding and documentation processes. The Administrative Assistant will also assist with data entry, updating client information in systems, coordinating internal communications, and preparing basic reports and presentations. This position requires strong attention to detail, a high level of professionalism, and the ability to support multiple stakeholders in a fast-paced wealth management environment. Qualifications Demonstrated Administrative Assistance and Clerical Skills, including scheduling, filing, data entry, and document preparation. Experience with Executive Administrative Assistance, such as calendar management, meeting coordination, and preparing materials for senior team members. Strong Communication and Phone Etiquette skills, with the ability to interact professionally with clients and internal partners. Proficiency with office software (e.g., Microsoft Outlook, Word, Excel, PowerPoint) and comfort learning new tools and systems. Strong organizational skills, attention to detail, and the ability to manage competing priorities and deadlines. Customer service mindset and a professional, discreet approach to handling confidential information. Previous experience in financial services, banking, or wealth management is an asset. Post-secondary education in business administration or a related field, or equivalent combination of education and experience.
