The Administrative Specialist leads from where they are on EDI, Anti-Racism, Decolonization, and Indigenization, with the leadership of the Office of Equity. “Through collaboration and interconnectedness with community, knowledge sharing, and Indigenous ways of knowing and being, we are dedicated to nurturing a true sense of belonging, safety, and trust for every learner and NorQuester.”

They will continuously seek, trial, and evaluate efficient, technology-enhanced or self-serve methods to enable smooth faculty processes and transitions.

HOW YOU’LL MAKE A DIFFERENCE

  • Provide high-level administrative and operational support to college programs while ensuring deadlines, workflows, staffing, and annual portfolio requirements are met.
  • Coordinate academic calendars, key milestones, communications, major events, and reporting timelines to support smooth program operations.
  • Monitor strategic enrolment activities, student application portals, and support student transitions into courses, labs, placements, and online learning environments.
  • Develop and distribute academic communications including newsletters, program updates, handbooks, policies, and website content revisions.
  • Support faculty, staff, and stakeholders through effective communication, relationship building, and coordination of awards, committees, and college events.
  • Serve as a Moodle super-user by providing eLearning support, promoting online best practices, and monitoring educational technology usage and quality metrics.
  • Assist with human resources and people operations including staffing, onboarding, leave tracking, recruitment support, office allocation, performance reviews, and wellness initiatives.
  • Provide cross-functional administrative support by training new staff, maintaining process documentation, covering team absences, and assisting leadership with additional operational duties as required.

WHAT YOU BRING

  • Applicable Diploma in a related field
  • Minimum of 3+ years in related experience in a post-secondary institution.
  • Additional experience with facilitating hiring processes would be a strong asset.
  • Well-developed organizational skills; clear, calm communication and exceptional interpersonal skills are required.

WHAT MAKES YOU A DIFFERENCE MAKER?

  • Coordinate multiple administrative functions with competing deadlines, including onboarding, staffing changes, purchasing requirements, and operational workflows.
  • Make independent decisions to support faculty and staff operations while collaborating with internal departments and college services as needed.
  • Ensure strict compliance with NorQuest College policies, procedures, and hiring requirements throughout onboarding and staffing processes.
  • Lead staff onboarding activities to ensure new employees receive timely access to equipment, technology, system permissions, and workplace resources required for their roles.
  • Provide regular updates to the Administrative Coordinator regarding staffing needs, recruitment activities, onboarding progress, and operational priorities.
  • Collaborate with Human Resources, Facilities, BTS, and other college departments to coordinate access requests, troubleshoot issues, manage workspace needs, and support operational continuity.
  • Exercise a high level of discretion and professionalism when handling staffing changes, sensitive information, and confidential administrative matters.
  • Maintain and update training manuals, operational documentation, and reference resources while effectively prioritizing tasks and resolving unexpected issues in a fast-paced environment.

SALARY: AUPE Band Level 6 | Administrative Assistant III | $55,296 - $71,868reflective upon what you bring AKA your education and experience. This is a 11-month temporary (1.0 FTE) position, with the possibility of extension, with the Alberta Union of Provincial Employees (AUPE).
