(Job #558868) Administrative Analyst/Specialist, Nursing Program Analyst, CSU Classification Salary Range: $5,274 – $7,684 per month (Step 1- Step 20), Anticipated Hiring Range: $5,274- $5,488 per month (Step 1-3).

Final salary placement is commensurate with experience, internal equity, and budget considerations.  This is a temporary, full-time, benefited, exempt, 12-month pay plan in Applied Health Department.

Position Summary:

This position will provide administrative and analytic support to the Nursing Program in the School of Applied Health. This position reports to the Dean of the College, with oversight to the Nursing Director and School of Applied Health Department Chair.

Nursing Program responsibilities include the following primary areas:

 1) Accreditation and Academic Program Review;

  1. Compliance;

  2. Student Support;

  3. Meeting and Event Coordination; and

  4. Program Marketing, Promotion, and Communication.

 

Key Responsibilities:

 

Accreditation and Academic Program Review – 20%

Administrative support for the program's accreditation process with Commission on Collegiate Nursing Education (CCNE) as well as for institutional accreditation and academic program review, in collaboration with the Director of Nursing and program faculty, developing and maintaining strategic systems and processes for successful accreditation and university academic program review.

  • Maintains currency with accreditation standards, processes, and regulations as well as academic program review requirements.
  • Includes data collection, analysis, interpretation, and writing of accreditation and academic program review reports.
  • Maintains an organized list of current students and alumni with contact information and related program information
  • Input necessary alumni and employer contact information for exit surveys and focus groups

 

Compliance – 10%

Compliance coordination, via creating and maintaining databases and communication and monitoring systems, for all relevant health clearance requirements, regulations, accreditation requirements, and agency contract requirements.

 

Student Support – 15%

Serves as the program's student point of contact for student transactions.

Specifically:

  • Facilitates paperwork and maintains program student records related to registration, student contracts, and all other student transactions.
  • Triages student questions related to registration, course permission numbers, and add/drop process for courses requiring department/program approval.

Meeting and Event Coordination – 10%

  • Schedules and coordinates all aspects of meetings and special events such as graduation receptions, visiting lecturer presentations, guest presentations, and program meetings and retreats.
  • Prepares and distributes promotional materials concerning special events and activities.
  • Attends program meetings and ensures minutes are recorded.
  • Plans and/or attends events related to recruitment

Program Marketing, Promotion, and Communication – 20%

  • Uses myriad multimedia programs to create presentations, documents and other materials to meet academic and administrative goals.
  • Coordinates alumni correspondence from the program.
  • Responsible for ensuring the program website content is accurate and current.
  • Responsible for maintaining and overseeing the program's social media presence.

 

Administrative Duties – 20%

  • Facilitates course schedule development in collaboration with Director and community college partners
  • Review course catalog for accuracy and program requirements.
  • Coordinate retrieval and processing of applications from admissions and ensure acceptance/denial letters from the program are accurate.
  • Respond to student inquiries about the program.
  • Maintenance and organization of the program’s Google drive.

  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

As related to the major responsibilities for this position:

  • Ability to communicate effectively, both in written and oral forms, with a variety of people from both on- and off-campus and at different levels of rank.
  • Ability to respond independently and accurately to a variety of inquiries from faculty, staff, students, administrators, and the general public.
  • Ability to speak and write effectively, concisely, and to prepare either draft preliminary or final forms of memoranda and reports.
  • Ability to listen and interpret various approaches to administrative and management issues and to communicate on a common level.
  • Ability to comprehend and use a variety of documents from various sources relating to the management of the university, the Office for Academic Affairs, the College, and the Department and Program.
  • Ability to exercise judgment and discretion in dealing with highly confidential matters.
  • Ability to independently conduct research, and develop and communicate alternatives, and participate in decision-making meetings.
  • Ability to use current software packages in the areas of spreadsheets, databases and word processing, and to learn new ones as systems are modified and/or adopted.
  • Ability to handle multiple tasks and interruptions with efficiency and tact.
  • High level of skill with Excel spreadsheets, Windows, Microsoft Word, PowerPoint, and Google Workplace apps (e.g., Docs, Sheets, Slides, and Drives). Strong level of skill with e-mail, PeopleSoft, SPA, and other campus-wide software packages.

Minimum Qualifications:

 

This position requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative

policies, procedures, practices, or programs. 

Preferred Qualifications:

  • Education equivalent to graduation from a four-year college or university.
  • Five years of progressively responsible administrative support experience.
  • Thorough knowledge of office systems, methods and procedures.
  • Full understanding of the supportive role of an executive assistant and the ability to operationalize.
  • Ability to work independently to achieve the goals set by the Chancellor's Office, the University, and Office of Academic Affairs, and the College of Professional Studies.
  • Ability to take a leadership role in coordinating the administrative and managerial tasks involving all areas of responsibility.
  • Skill in investigating and analyzing administrative/managerial related problems.
  • Ability to define problem areas, collect data, do preliminary analyses, and make appropriate recommendations.
  • Skill in planning, organizing, and performing work where diverse
  • demands are involved.
