SUMMARY:

Reporting to the director, International Student Programs (ISP), the Office Support position provides a wide variety of clerical and administrative services to support the efficient and effective operation of the department.

DUTIES:

 Supports the department by performing a variety of administrative and secretarial duties with minimum direction. Keyboards/types, proofreads, duplicates, photocopies, collates, and files a variety of material including student information, memos, and reports. Composes and prepares routine correspondence. Keeps office area tidy and presentable.

 Processes agent applications, collects business licenses, and sends agent agreements, brochures, and certificates. Keep agent information updated on the database.

 Collects and prepares legal documents required for student study permit renewals and visiting parent visa renewals for Immigration Consultant processing.

 Processes travel, invitation, and attendance letters, certificates, and other documentation; forwards student medical information from BC Medical Services Plan and medical insurance company to schools.

 Assists with maintaining student information and records; enters data into the ISP student record system and MyEd BC for student registration; forwards student information and requests to the Director and schools. Liaises between agents, schools, parents, and homestay parents. Generates student lists, and assists with the development and creation of new forms and processes

 Performs reception duties; responds to a variety of internal and external inquiries by telephone, e-mail, and in person.

 Assists with registration of new students.

 Monitors and prepares monthly payments of homestay fees from host families.

 Organizes couriers and tracks the shipping of brochures and other materials to agents and overseas fairs.

 Orders supplies, ensures appropriate inventory levels, receives and checks orders, and authorizes payment.

 Provides back-up support to the International Student Programs Assistant, Admissions Officer and other department members as needed.

 Remains current with changing technology, practices, and equipment.

 Monitors incoming communication and walk-ins into school board office and direct communication or person to the appropriate department.

 Performs related duties as assigned.

QUALIFICATIONS:

Successful completion of a secondary school graduation program or equivalent. Completion of a post-secondary office administration program (equivalent of 8 months in duration).

Minimum of one year recent and relevant clerical/administrative experience, including experience word processing, and using spreadsheet and database applications.

Proven ability to use and learn a variety of computer programs and applications.

Ability to work independently and set priorities.

Must be able to use initiative and independent judgement within scope of responsibility.

Proven ability to handle a high volume of detailed secretarial work quickly and accurately.

Excellent interpersonal, communication, and organizational skills.

Ability to use judgement and tact when providing information and patience working with foreign agents, students, and parents.

Ability to operate a variety of office equipment.

Physical ability to perform the duties required.
