About the role

Engage Architecture Inc. is a young, woman-led professional architecture practice located in Vancouver BC. We are growing our diverse team and looking for a keen and experienced Office Administrator to join us. Our bright, central, downtown office has a casual, friendly atmosphere and we all currently work from the office. This open and collaborative work environment fosters teamwork and open communication.

The Role: The Office Administrator is responsible for providing office support, clerical, and organizational skills to support the professional services offered by Engage Architecture Inc. and ensure best practices for business operations. Confidentiality, efficient time management, and attention to accuracy are essential qualifications for this position, as is the ability to communicate clearly. The position is currently for permanent full-time, in-office employment, 35 to 40 hours a week, with some schedule flexibility for hours and days worked within our standard 8:30 to 5:30 Monday to Friday office hours. This role is the sole on-site administrative team member supporting our office of 10 professionals. We value initiative, dedication, and a willingness to learn and take on new challenges.

Responsibilities: Provide clerical and administrative support to the firm leadership and project teams, as requested, including regular weekly, monthly and annual tasks, to assist with the smooth operation of the office.. Prepare and edit documents, reports, forms and presentations. Perform general receptionist duties when on site, including answering the phone, directing calls and greeting visitors to the office. Provide assistance and support for accounting tasks including bank runs, organization and filing expense receipts, tracking payables, follow-up for past due invoices. Liase with our offsite bookkeeper to assist with the flow of financial related information. Manage office communications including maintaining the general office email account and distribute incoming emails, manage the general office calendar, check the office mail box regularly, book and receive courier deliveries and accurately distribute mail and packages to the appropriate team members. Support projects through assisting with documentation, communications and information flow. Take part in welcoming new staff including general office orientation, distributing HR forms and organizing the setup of new workstations, phones and computers. Manage office supplies and provide research and assistance for special orders when requested. Assist with maintaining the contacts database for the company. Take and distribute minutes at online and in-office meetings and maintain meeting schedules. Maintain accurate and organized paper files and architectural samples library systems. Plan office social events including celebrating office milestones, and coordinating client appreciation efforts. Assist with website updates and maintenance, office social media posts. Assist with creation and execution of email marketing campaigns and newsletters.

Qualifications: Office or business administration, or related, diploma or certificate. Minimum 5 years of previous experience working in an administration or office support role in a professional service environment. Microsoft Office suite proficient including Word, Excel, Outlook and Powerpoint. Detail-oriented with good ability to self-check work and create systems to ensure accurate and complete delivery of tasks. Superior communication including high-level spoken and written English proficiency. Strong time management and personal productivity skills. Experience with marketing and social media implementations, simple form-based website updates, would be an asset. Legally eligible to work in Canada and based on the Lower Mainland of BC.
