Overview:
Position Summary
The Service Administrator supports the daily operations of the dealership’s Service Department by managing administrative tasks, coordinating documentation, and ensuring accurate recordkeeping. This role plays a key part in maintaining smooth workflow between Service Advisors, Technicians, Parts personnel, and management. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced OEM dealership environment.
Responsibilities and Qualifications:
Key Responsibilities
- Assist with service appointment scheduling, customer check-ins, and communication of repair status updates.
- Create, review, and maintain repair orders to ensure accuracy and compliance with dealership and OEM standards.
- Process service invoices, warranty documentation, internal repair orders, and customer pay billing.
- Work with Service Advisors and Technicians to ensure proper documentation, coding, and labor time accuracy.
- Manage daily service files, records, and reporting requirements for the Service Manager.
- Support the Parts and Service teams with administrative tasks such as purchase orders, parts requests, and follow-ups.
- Maintain service department logs, tracking sheets, dispatch information, and productivity reports.
- Assist customers in person and by phone with general service inquiries.
- Ensure timely processing of payments, warranty submissions, and customer paperwork.
- Provide general administrative support to the Service Manager and Service Advisors as required.
- All other duties as assigned by leadership.
Qualifications
- Previous experience in an automotive service environment or administrative position preferred.
- Strong organizational skills with high attention to detail and accuracy.
- Knowledge of dealership management systems (DMS) and OEM service platforms is an asset.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office and general computer applications.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Strong problem-solving abilities and a team-oriented approach.
- Ability to multitask while maintaining a high level of accuracy.

Posted Salary Range: CAD $18.00 - CAD $22.00 /Hr.
