Position Summary:  

The Account Coordinator provides administrative and operational support to the Account Manager(s), helping ensure the successful planning and execution of client projects. This role offers an excellent opportunity to gain hands-on experience alongside some of the industry's top Account Managers while developing the skills needed for a successful career in live events. The ideal candidate is passionate about live events, highly organized, proactive, client-focused, and driven to exceed expectations. They embrace challenges, think creatively, and continuously look for innovative ways to deliver exceptional results.

Duties and Responsibilities: 

  • The Sales Coordinator will be responsible for:
    • Managing incoming sales calls and web requests
    • Scheduling calls and meetings with existing and potential clients
    • Gathering any necessary information and preparing required documents for client meetings
    • Assisting the Account Manager in preparing proposals and sales presentations for clients
    • Taking detailed notes during client meetings, both virtual and onsite
    • Providing summary notes to the Account Manager, highlighting takeaways or next steps
    • Assisting in preparation of job orders, quotations and PO’s as required
    • Liaising and collaborating with team members across the company to ensure clear cross functional communication, specifically, the Operations Team. 
    • Tracking sales process activities, including lead tracking, bids, or proposals through the company CRM HubSpot and order entry database IntelliEvent
    • Assisting with invoicing schedules in IntelliEvent
    • Weekly cross referencing of all orders, completing update and changes as necessary across all platforms
    • Liaising with 3rd party vendors for quotes on specialty items
    • Collaborating with internal staff regarding cross rentals 
    • Attending site inspections as required
    • Attending events in person on a regular basis, ensuring smooth hand-off between sales and operations team onsite
    • Liaising with clients as directed by the Account Manager
    • Participating in debrief after each event to gather feedback from client 
    • Supporting the Account Manager in growing existing accounts and bringing in new business
    • Preparing reports and analysis of sales activities as required
    • Providing general support to sales and business development team as directed by the Account Manager

 Qualifications and Requirements:

    • Minimum two (2) years of experience in a sales capacity
    • University degree in Business, Marketing, Communications, Event Management, or a related field
    • Experience in the corporate live events industry is an asset
    • Technical aptitude, specifically in audiovisual (AV), is an asset
    • Strong written and verbal English communication skills
    • Excellent organizational and time management skills
    • Charisma and strong relationship-building abilities
    • Exceptional attention to detail
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook) with the ability to quickly learn new software and CRM platforms
    • Valid driver's license and willingness to travel as required
    • Ability to work flexible hours, including evenings and weekends, based on client meetings, events, and business needs
