About Northland Wealth Northland Wealth is an independent multi-family office serving ultra-high-net-worth Canadian families from offices in Oakville, Ontario and Calgary, Alberta.
We work with a select number of multi-generational families across investment management, financial planning, estate planning, tax coordination, and family governance. Portfolios hold private equity, private credit, real estate, and infrastructure alongside public markets.
The Opportunity We are looking for a highly organized, discreet professional to join our Oakville team as a Client Service Associate. You will support our advising representatives and the families they serve, across onboarding, client reporting, account administration, and private capital processing.
You will work with the advisory team and the firm’s compliance and operations functions, and with clients’ external accountants, lawyers, and insurance advisors, which gives you exposure to the full range of work an independent family office does for a family.

Qualifications • Two or more years in client service, operations, or administration at a portfolio manager, investment counsel firm, private bank, or family office. • Familiarity with Canadian registered and non-registered accounts: RRSP, RRIF, TFSA, RESP, FHSA, LIRA, LIF, corporate, and trust. • Post-secondary education in business, finance, economics, or a related field. • Strong Excel and Outlook, and comfort learning new systems quickly. • Writing and speaking skills appropriate to ultra-high-net-worth client contact. • Canadian work authorization.
Preferred • Canadian Securities Course. • A portfolio reporting platform such as Addepar, Croesus, or Morningstar Direct. • Alternative investment operations: capital calls, distributions, fund reporting.
Primary Responsibilities Onboarding and Account Administration • New family onboarding: KYC documentation, custodian account opening, FATCA and CRS self-certifications. • Document tracking across personal, corporate, trust, and foundation entities. • Account transfers, and coordination with custodians and transferring institutions. • Registered account administration, beneficiary updates, contribution and withdrawal requests.
Reporting, Meetings, and Private Capital • Quarterly review materials: performance summaries, capital activity logs, agendas. • Portfolio data extraction and verification, and report packages for advisor review before delivery. • Meeting notes, action item tracking, and follow-up to completion. • Capital call notices and distributions from private equity, private credit, real estate, and infrastructure managers. • Wire instructions, funding timelines with the trading desk, and the capital activity log.
Records, Compliance Support, and Coordination • Client records, interaction logs, and the service calendar in the firm’s CRM. • Client files maintained to the standard required of a registered portfolio manager, with annual review dates tracked and deadlines flagged for advisors. • Liaison to clients’ accountants, lawyers, and insurance advisors, including document collection for tax filings and estate reviews. • Quarterly fee calculation and invoicing support, with the firm’s bookkeeper. • Coordination between the Oakville and Calgary offices.
Compensation and Benefits • Annual base salary of $60,000 to $75,000, depending on experience and qualifications. • Extended health and dental coverage under the firm’s group plan. • Annual allowance for continuing education. • Advancement and increasing responsibility with demonstrated performance.
