Job Summary

The Mail Administrator is responsible for preparing, verifying and delivering mail internally and externally in a secure and timely fashion.

  • Protect Service employees from contaminated and dangerous mail by operating an X-ray machine for letter/parcel bomb detection, by operating an air wash unit for the containment of hazardous substances and by scanning incoming mail.
  • Open, sort and digitize mail in the CSIS HQ building and regional offices.
  • Operate a Postal Franking Machine, electronic postage meter and electronic scale to ensure correct postage is used and ensuring that regulated and customs requirements are followed.
  • Maintain a tracking system on the security and traceability of service mail to be used during investigations and damage assessment.
  • Deliver outgoing mail to external companies and Government Departments by driving a service vehicle on a daily basis.
  • Deliver classified mail and other materials on a monthly basis to our Regional and District offices (by vehicle or airplane).
  • Compile statistics on mail volumes and financial expenditures of the postal machines and workstations.
  • Assist employees by providing information on how to package mail, methods, time, deadlines, etc.
  • Ensure that outgoing/internal mail conforms to GSP and CSIS security policies and procedures by reviewing compliance of outgoing mail against established policies and procedures and by conducting periodic information sessions.

Education

  • High school diploma and two (2) years of experience.

The educational program must be from an accredited learning institution recognized in Canada. If you completed a program outside of Canada, you will be required to obtain proof of a Canadian equivalency at your expense through a recognized credential assessment service.

Note: Any higher level of education could be recognized as experience.

Conditions of Employment

  • While we continue to explore opportunities for flexible work arrangements, most roles in our organization require an in-office presence. For this particular position, the work must be done in the office.
  • Lifting of heavy items is required (boxes of files, equipment, approximately 66 pounds/30 kg).
  • Candidates must have a valid driver’s licence and provide a driver’s abstract at their own expense.
  • Candidates must agree to perform various duties on a rotational basis, including working late for urgent requests.
  • Candidates must be willing to drive within and outside the National Capital Region in various types of weather conditions.
  • Candidates must be willing to travel within Canada to deliver and pickup classified material from our Regional and District Offices.

Candidates must be eligible to receive an Enhanced Top Secret security clearance.
