About the role

International Rural Exchange Canada is hiring a full-time Operations and Experience Assistant to join our team in Alameda, Saskatchewan. We are looking for a friendly, organized person who enjoys variety in their work. This role includes office administration, participant support, community communication, event preparation, and occasional representation of our non-profit at trade shows and career fairs.

This is a great fit for someone who likes people, keeps things organized, and is willing to jump in where needed. Some days may involve answering phones, making phone calls, and helping with emails. Other days may include preparing welcome packages, organizing event supplies, or making sure the office looks welcoming. There is always a little bit of everything basically, no two days are exactly the same.

About the Role The Operations and Experience Assistant helps keep the office running smoothly and supports both our inbound and outbound programs. This person will be one of the friendly faces of IREC, helping welcome the public, support participants and hosts, organize office needs, and assist the team during busy seasons. This role works across departments and supports many different areas of the organization. A positive attitude, strong attention to detail, and willingness to help are very important.

Key Responsibilities

Office and Administrative Support Maintain a consistent presence at the office to welcome visitors and answer phones Make phone calls as needed to support office and program tasks Monitor voicemails and respond or forward messages as needed Help monitor general email accounts and direct messages to the correct team members Assist with weekly email clean-up, tagging, and inbox organization Keep a list of staff meeting agenda items and ensure meeting minutes are taken Pick up mail from the post office Order and restock office supplies Order and restock promotional clothing and materials Keep the office organized, tidy, and welcoming Ensure garbage and recycling are put out on the correct days Communicate with cleaning, lawn care, and snow removal contacts as needed Help maintain the curb appeal of the office, including window boxes and seasonal decorations

Participant, Host, and Partner Support Maintain a warm and friendly presence in Circle, our communication and connecting app, for Inbound and Outbound participants, hosts, and partners Help keep host and trainee resources updated in Circle Monitor contact emails and answer or transfer questions related to inbound, outbound, and hosting Prepare and send Inbound trainee welcome packages Prepare and send Outbound participant packages Assist with participant communication and support when needed

Inbound Program Support Check Typeform weekly and send information packages as needed Prepare Recognized Organization (RO) letters weekly and email them to the appropriate partners Help maintain Inbound trainee and Host materials Attend Welcome Seminars when needed Assist the Inbound Team with phone and administrative support

Event and Board Support Assist with physical arrangements for Welcome Seminars, Calgary Stampede, Agribition, board meetings, and other events Help organize food, lodging, supplies, and event materials Send AGM agendas and materials to board members and hosts Ensure quarterly board reports are sent Represent IREC at major events, career fairs, and trade shows when needed Receive and respond to community donation requests

General Team Support Assist with a variety of tasks across departments during seasonal busy times or staff holidays Support both inbound and outbound program needs Help with special projects as assigned Be willing to learn new systems and processes as needed

Location: Alameda, Saskatchewan

Work Arrangement: In-person only. This position must be based at our Alameda office. Remote work is not available for this role.

Hours: Full-time

Wage: Starting at $25/hour

Benefits: Extended health benefits included

Term: 14-month term, with the possibility of becoming permanent
