EXECUTIVE ASSISTANT
Toronto / Full-Time, Permanent
This role involves remote/work-from-home arrangements with a requirement for a minimum of two (2) days per week working onsite and may be subject to change as the organization works through its hybrid workforce plan and/or changing needs of the Foundation. The Centre for Addiction and Mental Health (CAMH) is Canada’s largest mental health teaching hospital and one of the world’s leading research centres in its field. With a dedicated staff of more than 5,000 physicians, clinicians, researchers, educators, and support staff, CAMH offers outstanding clinical care to more than 38,000 patients each year. The organization conducts ground-breaking research, provides expert training to healthcare professionals and scientists, develops innovative health promotion and prevention strategies, and advocates on public policy issues at all levels of government.
CAMH Foundation is charged with raising and stewarding funds in support of CAMH. Its role is to help transform the way we understand and address mental illness by raising awareness and increasing engagement across the country. Generous and dedicated supporters help CAMH advance discovery and innovation, build spaces that promote recovery, and break down the stigma of mental illness.
The Finance team is responsible for the processing of donations and expenses, grant management, regulatory compliance, managing investments, establishing policies, procedures, and controls to ensure timely and accurate reporting of the financial results. The Operations team is responsible for ensuring the smooth administration and management of funds and implementing processes and systems to support the organization. Compensation & Benefits
Salary is competitive and based on experience, with a hiring range of $77,283.12 to $86,523.50, annually. CAMH’s Total Rewards: Includes participation in HOOPP defined benefit pension plan, extended health and dental benefits, paid vacation starting at four weeks, flexible work arrangements, and ongoing professional development support.

Responsibilities
KEY RESPONSIBILITIES:
Managing day-to-day functions of the offices of the COO and the CFO, including calendar coordination, correspondence with internal and external stakeholders, meeting preparation and recording, as well as any administrative tasks to ensure the office operates in an effective, efficient and well-organized manner. Assisting both the COO and CFO and their teams on special projects. Preparing and/or assisting in creating meeting materials, briefing documents and information packages as needed. Maintaining confidentiality, taking initiative, remaining tactful, and practicing mature and independent judgment while working through complex issues and managing multiple priorities. Performing department-specific responsibilities that may include but not be limited to donor support, finance, audit, reporting, human resources, business, research, facilities, project and/or reception supports. Coordinating Board and Committee reports, communications and scheduling for the CFO and COO. Maintaining and cultivating positive relationships with internal and external stakeholders including, but not limited to, the Board Committees supported by the COO and CFO, Foundation colleagues, hospital partners, auditors, etc. Supporting the Operations and Finance teams through a number of activities including drafting messages and preparing communications, assisting with human resource activities, preparing purchase documentation and providing oversight of expenditures on behalf of the Executives. Serving as the conduit between internal teams for approvals, reviews and re-routing actions as appropriate and keeping teams organized and operating effectively and efficiently with consistent systems, files and records management. Managing Executive corporate credit cards including preparing and submitting monthly expense forms with appropriate backup to the Finance department. Handling confidential, non-routine information, special projects and other duties as assigned with the required sensitivity and urgency. Compliance with Foundation Policies & Procedures. Providing back-up support to the EA to the President & CEO for Board administration functions, including distributing materials, responding to inquiries, taking minutes and coordinating with executive team leads and Board/Committee Chairs.
Qualifications
WHAT YOU’LL BRING TO THE TEAM
A post-secondary education and minimum of 5 years or more of relevant work experience in operations, secretarial/administrative experience, or an equivalent combination of education and experience. You have demonstrated experience providing senior level strategic and administrative support. Health care and/or not-for-profit experience is considered an asset. You have advanced proficiency with the Microsoft Office suite of programs specifically Outlook, Word, Excel and PowerPoint. Experience with database systems such as Raiser’s Edge is considered an asset. You have demonstrated initiative and the ability to work independently and within a team environment. A track record of producing accurate and high-quality work, and managing multiple priorities simultaneously, while ensuring deadlines are met. You have a high level of professionalism and a positive attitude. You have a commitment to timely and appropriate customer service, rooted in initiative and tact, and experience interacting with influential community and business leaders. You have unquestionable integrity, sense of judgement, and absolute discretion with confidential and sensitive information. You have excellent written and verbal communication skills. You have demonstrated ability to lead and mentor, as well as work collaboratively with stakeholders at all levels.
