Type: Full-time, permanent Hours: 37.5 hours per week (core hours Mon – Fri 930am – 230pm) Location: Hybrid | Burnaby office on the ancestral Coast Salish Territories of the Musqueam, Squamish, and Tsleil-Waututh Nations (additional in-office details below) Salary: $70,000 – $78,000 - $86,000 (pay range explained below)

The Role The Operations Coordinator, Operations & Administration is a hands-on operational generalist who helps keep MABC’s internal administration, systems, records, vendors, office coordination, and member-facing administrative workflows running smoothly. What You'll Do Provide day-to-day coordination support to the Director of Operations & Organizational Health Support the development, coordination, and implementation of operational workplans, internal projects, and process improvements Coordinate operational meetings, including scheduling, agenda preparation, meeting packages, minutes, action tracking, and follow-up Support coordination across MABC’s administrative and operational functions, including membership/registration, benefits administration, office administration, records, procurement, and vendor coordination Maintain and improve operational filing systems, SharePoint structure, document naming conventions, permissions, and records organization Support the development and maintenance of operational policies, procedures, templates, checklists, and standard operating procedures Maintain contract and vendor documentation, including inventories, renewal dates, key contacts, and approval records Support procurement processes, including gathering quotes, tracking approvals, maintaining records, and coordinating vendor communication Coordinate with MABC’s external IT partner on day-to-day IT needs, equipment ordering, user set-up, onboarding/offboarding, and issue tracking Support operational budget tracking, expense monitoring, and documentation for reconciliation purposes Support planning and logistics for staff meetings, operational workshops, onboarding sessions, training activities, and internal events What You Bring A bachelors, or equivalent combination of education, training, and experience in business administration, operations, office administration, non-profit administration, or a related field. 4+ years of progressive experience in administration, operations coordination, office management, project coordination, or a similar role. Experience supporting a senior leader, manager, or director with coordination, follow-up, documentation, scheduling, and operational priorities. Strong skills in Microsoft Office 365, including Outlook, Excel, Word, PowerPoint, Teams, and SharePoint. Experience using Asana or a similar project/workflow management tool. Experience developing or maintaining procedures, templates, trackers, checklists, filing systems, or other operational tools. Comfortable with financial administration tasks such as expense tracking, invoice documentation, budget monitoring, and reconciliation support. Experience coordinating vendors, contracts, IT requests, procurement, supplies, or office operations

Compensation & Benefits Salary of $70,000 – $78,000 - $86,000 - The Pay Range shows the minimum and maximum annual salary based on full-time equivalent hours. Incumbents are typically hired, transferred or promoted based on their knowledge, skills, abilities and experience in relation to the role requirements as well as internal equity.
