Position Summary
At the Calgary Stampede, the Logistics team plays a vital behind‑the‑scenes role supporting all operational teams during our world‑class 10‑day event. The team oversees the park‑wide distribution of assets and goods, as well as Food & Beverage invoicing, ensuring inventory is accurately tracked, goods are delivered on time, and documentation is processed efficiently. Logistics Administrative staff support internal teams and vendors by processing invoices, coordinating inventory movement, and maintaining records in a time‑sensitive, constantly evolving operation. This role is essential to keeping park operations running smoothly throughout the Stampede.
This is a Seasonal Position concluding the end of August.
Responsibilities
Key responsibilities of the Logistics Administrative Assistant include:
- Accurate entry, verification, and timely processing of Food & Beverage invoices
- Ensuring invoices and supporting documentation are accurately digitized and properly filed
- Supporting electronic inventory tracking and warehouse transfers
- Assisting with procurement and cost tracking
- Communicating effectively with vendors, team members, and internal stakeholders
- Supporting logistics operations during peak and event‑critical periods
Qualifications
The ideal candidate is detail‑oriented, reliable, and able to work in a fast‑paced environment:
- Strong administrative, organizational, and data entry skills
- Experience with invoice processing, inventory tracking, or logistics coordination (asset)
- Familiarity with FoodTrack or similar inventory software is a plus
- Proficiency in Microsoft Excel
- Ability to work efficiently under pressure
- Strong written and verbal communication skills
