About the Role
We're hiring an Audit Administrative Coordinator to be the operational backbone of our Ottawa condo audit practice. This is the person who keeps the engine running ? from the moment a new audit lands on our desk through to the signed-off, closed file. You'll work directly with our audit team, property managers, and condo boards to make sure every file moves smoothly and nothing falls through the cracks.

What You'll Do
File & engagement management
- Set up new audit engagements in iFirm (CCH iFirm), including client records, engagement templates, and deadlines
- Track each file from kickoff through final sign-off and archive
- Organize draft financial statements, working papers, and supporting documents
- Coordinate signatures (client, partner, board) and close off completed files
Scheduling & deadline tracking
- Maintain the master AGM calendar for our condo portfolio
- Schedule audit fieldwork, board meetings, and signing meetings
- Monitor statutory and engagement deadlines, flagging anything at risk
- Coordinate timing with property managers, board members, and internal staff
Records & document handling
- Pull records from client accounting systems (Yardi, CondoWorks, QuickBooks, Sage, and similar)
- Scan, name, and file source documents into our document management system
- Request, chase, and follow up on outstanding information from clients
- Maintain clean, audit-ready file structures
Communication
- Act as the primary day-to-day contact for property managers on file logistics
- Manage shared inboxes and route emails to the right team member
- Answer and triage incoming phone calls for the Ottawa office
- Draft and send routine client correspondence (engagement letters, document requests, status updates)
General office support
- Keep the Ottawa office running smoothly day-to-day
- Support partners and managers with ad hoc administrative tasks
What We're Looking For
Required
- 2+ years of administrative experience, ideally in a public accounting firm, law firm, or other professional services environment
- Strong proficiency with Microsoft Office (Outlook, Excel, Word, Teams)
- Excellent written and verbal English communication skills
- Demonstrated ability to manage multiple deadlines and competing priorities without dropping balls
- High attention to detail ? you notice when a date is wrong or a name is misspelled
- Comfortable picking up the phone and following up with clients professionally
Nice to have (not required ? we'll train the right person)
- Experience with CCH iFirm, Caseware, or similar audit/practice management software
- Familiarity with condominium property management platforms (Yardi, CondoWorks, etc.)
- Prior exposure to condo corporations, not-for-profits, or audit engagements
- Bilingual (English/French)
