Position Summary As the Equipment Inventory Controller, you play an integral role in organizing and performing equipment inventory and data cleanup and maintenance across all branch locations in collaboration with the Equipment Accounting Supervisor and Equipment Admin Assistant. An important extension of the sales team, the Equipment Inventory Controller is responsible for reviewing and performing monthly data cleanup duties for all error and exception reports. Position Outline: • Coordinate paperwork process flow for purchasing and equipment management.• Maintain accurate inventory data in database.• Create cost sheets based on sales book and ERP data.• Review cost sheets with VP of Sales & COO and make any adjusting entries required.• Follow all policies and procedures as specified in company manuals/DATS.• Attain short and long-term objectives through good management and planning.• Promote a positive image of the company and its product lines.• Comply with our “Service First” value by providing excellent customer service to both internal and external customers Roles and Expectations Purchasing: • Create and issue Purchase Orders as required – update attachment spreadsheet.• Receipt attachments and machines (pull invoices from the VDN).• Code brokerage invoices and miscellaneous freight invoices. Equipment Management: • Market share reports (mid-month).• Coordinate Movement Forms and ensure inventory data is correct in database.• Assist with Audits.• Update attachments (Add/Remove).• Coordinate delivery and resource of new and rental equipment (report deliveries to VP Customer Support and Executive Assistant).• Update Quipware Equipment Procedures Manual.• Produce and maintain order status reports.• Attachment Counts.• Maintain Model Nomenclature. Sales: • Review sales packages for accuracy and save in appropriate location• Track payments and deliveries to determine billing date• Create cost sheets based on ERP and sales book• Review cost sheets with VP of Sales and Equipment Accounting Supervisor• Prepare entries in the ERP as needed to ensure the sales figures match the cost sheet.• Update cost sheets as needed to ensure accuracy of sales information after sales are completed. Misc:• Create new models for machines and attachments.• Monitor first refusals in ERC and ensure accuracy.• Develop and maintain reports in PowerBI as needed Profile (Behaviours and Characteristics):• Strong work ethic; Self-starter/self-motivated.• Integrity - act with uncompromising honesty and integrity in everything you do.• Excellent customer relations skills.• Detail oriented and thorough.• Excellent organizational and time management skills.• Driven/energetic.• Team player/collaborator.• Problem solving mentality.• Confident/resilient. Experience Required:• 2+ years of practical related experience with data analysis.• Experience and/or knowledge with equipment database.• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.• Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.• Ability to compute rate, ration, percent and to draw and interpret graphs.• Adept at using various applications including database, spreadsheet, report writing, project management, graphics, word processing, presentation creation/editing.• Proficient at dealing with problems involving multiple variables and proactively addressing possible issues or problems.• Superior customer relations skills.• Good communications skills and good computer and systems knowledge• Strong technical background and capable of communicating with technicians and customers regarding parts and service.
