Job Description: We are seeking a highly organized, detail-oriented, and proactive Sales Coordinator / Executive Assistant to support our sales team and ensure the smooth operation of daily administrative functions. The ideal candidate will act as a key liaison between customers, sales representatives, and internal departments while maintaining accurate records, coordinating sales activities, and providing exceptional administrative support.

Responsibilities: Support the Chief Strategy Officer with day-to-day administrative and operational activities. Draft, proofread, and format executive correspondence, presentations, and reports on behalf of leadership. Attend leadership and sales meetings to capture minutes, document decisions, and track action items through to completion on various projects. Screen and prioritize incoming communications, acting as a first point of contact and gatekeeper for leadership. Handle confidential and sensitive information with the highest level of discretion and professionalism. Coordinate logistics for internal and external meetings, client events, and industry conferences. Support special projects and ad hoc initiatives on behalf of senior leadership, keeping deliverables on track while providing updates. Serve as a primary point of contact for new and existing client inquiries regarding accounts, services, and quotes. Handle urgent calls, emails, and messages when Account Managers are unavailable, ensuring seamless communication by phone, email, and online chat. Schedule and coordinate meetings between clients and Account Managers, and arrange internal staff meetings to optimize team productivity. Maintain and update an inventory of sales presentation materials, including brochures, presentation folders, product slides, and branded merchandise. Ensure all sales content is current, accurate, and readily available to the field sales team. Gather and organize the resources needed to create high-quality, customized sales experiences for clients. Provide administrative support for sales tools such as HubSpot and ZoomInfo, including data entry, account transfers, list management, training, and system updates. Prepare and distribute sales and performance reports, supporting leadership with data-driven insights. Collaborate with Marketing, Logistics, and Customer Care to ensure efficient handling of sales queries and deliveries. Support the field sales team by maintaining documentation, and surfacing feedback that improves performance. Assist with onboarding, and training new sales personnel to help the team meet its targets. Contribute to budget planning for sales-related expenses, including marketing initiatives, travel, and team incentives. Identify opportunities to streamline sales and administrative activities that support long-term company growth. Coordinate customer orders and ensure timely communication regarding order status, delivery schedules, and product availability. Generate sales reports, dashboards, and performance metrics for management review. Maintain organized filing systems, both electronic and physical. Ensure a high level of customer satisfaction through responsive and efficient service.

Requirements: Post-secondary education in business, administration, sales, or a related field (or equivalent experience). 2–4 years in a sales coordination, sales support, or executive assistant role; experience in transportation, logistics, or warehousing is an asset. Proficiency with CRM platforms (HubSpot) and sales intelligence tools (ZoomInfo) preferred. Strong proficiency in Microsoft Office Proven experience managing executive calendars, communication, reports, and confidential information. Exceptional organization and the ability to manage competing priorities under deadline pressure. Discretion, sound judgment, and the ability to handle confidential matters professionally. Strong written and verbal communication skills. Meticulous attention to detail and accuracy. A proactive, solutions-oriented mindset with a high degree of ownership. Comfort working across multiple departments and adapting to shifting priorities.
