About the role
The J. Hansen HVAC Group Inc. is in search of an Administrative Assistant. The successful candidate will be a self-motivated individual with excellent organizational and communication skills who will be assigned a variety of administrative and clerical duties to better assist our technicians, office staff and customers. They will be responsible for opening purchase orders and providing consistent and reliable inside sales support. With their organizational expertise, they will play a definite key role in enhancing our corporate image and reputation.
Duties and Responsibilities:
- Assist in ordering material for preventative maintenance contracts
- Stay up to date with daily incoming emails
- Provide purchase orders when needed
- Consistent and reliable support to inside sales staff
- Build strong rapport with customers over the telephone
- Manage customer complaints and concerns over the phone efficiently and professionally
- Scan, file, and organize documents as needed
- Other duties as assigned
Beneficial Skills and Requirements:
- Must have strong organizational skills with the ability to time manage
- Must be detail oriented
- The ability to work under pressure and meet deadlines
- Effective oral and written communication skills
- Proficient with Microsoft Excel and Microsoft Word
- Experience using Sage Business Vision accounting software is a definite asset, but not a requirement
- Mechanical Aptitude is considered an asset
- Must have valid class 5 driver’s license
