For more information about our victories, please visit our website at https://psacunion.ca/ About the role Under the direction of the Senior Facilities Manager, the Administrative Assistant provides comprehensive administrative and facilities support services that enable the PSAC Holdings Ltd. to fulfill its role in a timely and credible manner. This position is responsible for a wide variety of administrative responsibilities and provides assistance and support to the Senior Facilities Manager to ensure the organization’s efficient operation. What we are looking for: Skills & Knowledge: General knowledge of facilities/building operations including contractors, security, maintenance, renovations, repairs, leases and cleaning functions; General knowledge of RFP development and evaluation principles and process. General administrative and secretarial knowledge and ability associated with successful completion of business and/or secretarial training, or equivalent, normally acquired through several years in providing secretarial services relevant to the duties of the position; Basic knowledge of trade union role, objectives and activities as well as a commitment to union and equity principles and some familiarity with government organizations, practices and procedures. Abilities: Ability to apply effectively transcribing, typing and clerical skills in both official languages; proficiency in spelling and in the application and usage of English/French grammars and a good vocabulary; Ability to operate a personal computer and a high degree of word processing skills using Word, Windows, e-mail, spreadsheets (ideally Excel), data base software; Ability to communicate both orally and in writing in French and English; Ability to independently organize, plan and determine work priorities in order to meet strict deadlines in an environment with multiple and competing priorities; Ability to work cooperatively with others in a team environment; Ability to diffuse angry and upset tenants, staff and visitors; Qualifications required of this position consequential to the increased responsibilities include demonstrated problem-solving, decision-making skills, self-direction and independent judgement. Above average organizational and time management skills and ability to establish priorities and manage multiple tasks in order to meet operational requirements and deadlines in a time-sensitive environment are also required. Well-developed interpersonal and communication skills and customer-focus are also required, as well as the ability to establish effective and harmonious relationships with contractors, employees and tenants. Personal suitability: High degree of initiative, tact, discretion and good judgment. What you need to know Second language skills as per the Common European Framework of Reference for Languages (CEFR) will be assessed. Valid federal SLE results may be accepted. A combination of education, experience, and demonstrated performance may substitute for formal academic requirements.
