Job Description
We are looking for a Project Coordinator to help manage timelines, documentation, and communication across multiple residential projects. You will support the operations team by
Organizing project schedules, tasks, and deliverables Tracking progress from design through construction Maintaining digital records, permits, and contracts Coordinating with designers, trades, consultants, and municipalities Following up on outstanding tasks and keeping teams accountable Preparing and sharing project updates with internal teams and clients
This is a key role for someone who enjoys structure, problem solving, and cross-functional teamwork.
Qualification
We are looking for candidates who
Have experience in project coordination, construction admin, or operations Are highly organized and detail oriented Communicate clearly and professionally with a range of stakeholders Are confident using project tracking tools, spreadsheets, and shared files Understand construction timelines and residential permitting processes Are proactive and solution focused with a strong sense of ownership
Familiarity with ADUs or residential building is a strong asset but not required.

Sophie’s Flats is a one-stop shop for as-of-right accessory dwelling units (ADUs), helping homeowners and small landlords add high-quality rental housing with clarity and confidence.
We specialize in the design and construction of custom ADUs that are permitted as-of-right under local zoning, eliminating unnecessary risk, delays, and guesswork. Our focus is on practical, buildable solutions that work for real lots, real budgets, and real housing needs.
From early feasibility and design through permitting and construction, we manage the entire process in-house. Every ADU is custom-designed to suit the property, rather than forced into a pre-fabricated or one-size-fits-all model. This allows us to optimize layout, size, and functionality while respecting zoning constraints and neighbourhood context.
All of our builds are Tarion-enrolled and constructed by an HCRA-registered builder, providing full new-home warranty protection and peace of mind—an important distinction in a market where many ADU builders operate without registration or warranty coverage.
