The Executive Assistant is to take ownership of all administrative responsibilities within the organization and ensure smooth operations of internal tasks. Excellent organizational skills, self-motivation, creativity, attention to detail, problem solving skills and flexibility are all imperative to the success of this position.

Responsibilities GENERAL ADMINISTRATIVE SUPPORT
- Ensure Three Way Builders is professionally represented.
- Ensure all office supplies are stocked and reorder as needed.
- Copy, print, and scan documents and drawings.
- Handle all incoming phone calls using a multiple-line phone system.
- Order food for lunch meetings.
- Keep workplace and office entrance neat and tidy.
- Update and maintain employee tracking lists and company vacation calendar, manage staff onboarding documents and company notifications
- Handle all incoming and outgoing mail and parcels.
- Maintain employee kitchen in a neat and tidy manner
- Assist the President as directed.
INFORMATION TECHNOLOGY
- Keep the Three Way Builders website updated with current content.
- Manage and maintain the company's social media accounts (Facebook, Instagram, LinkedIn), including scheduling posts, responding to inquiries, and maintaining a consistent brand voice.
- Create new audiovisual and graphic content for website and social media channels using tools such as Canva, Adobe Photoshop, or similar platforms.
- Monitor social media engagement and report on basic metrics as requested.
EVENT COORDINATION
- Research and secure venue for staff events.
- Coordinate invitations and manage RSVPs.
- Coordinate entertainment and activities planning.
- Provide creative input for event themes and experiences.
PROJECT COORDINATION
- Assemble Supervisor Field Safety binders.
- Assemble Operation & Maintenance (O&M) manuals as required.
- Provide support to Operations for administrative tasks
REPORTS AND DOCUMENTS
- Update existing job descriptions and create new ones as needed.
- Update existing Standard Operating Procedures and create for any new items.
- Update staff and project resumes on a regular basis.
Requirements
QUALIFICATIONS
- Completion of post-secondary school is an asset (Business or Office Administration preferred).
- Experience in a related administrative occupation is preferred.
- Familiarity with the construction industry considered an asset.
- Valid Driver?s License.
SKILLS
- Excellent computer skills (Microsoft Word, Excel, Outlook, Teams, SharePoint).
- Good verbal and written communication skills.
- Excellent organizational skills.
- Good time management and problem-solving skills.
- Ability to prioritize competing tasks and meet deadlines.
- Strong attention to detail.
- Experience with social media platforms (Facebook, Instagram, LinkedIn) considered an asset.
- Familiarity with graphic design tools such as Canva or Adobe Photoshop considered an asset.
- Familiarity with Bluebeam considered an asset.
- Familiarity with construction project management software (e.g., Procore) considered an asset.
- Experience with AI productivity tools considered an asset.

Pay: $42,000.00-$52,000.00 per year
