Company Description The Ontario Stone, Sand and Gravel Association (OSSGA) is a non-profit industry association representing more than 280 aggregate producers, equipment suppliers, and service providers across Ontario. Its members supply most of the approximately 164 million tonnes of crushed stone, sand, and gravel used annually to build and maintain the province’s infrastructure. OSSGA collaborates with government, stakeholders, and the public to advance a safe, sustainable, and competitive aggregate industry. The association is committed to supporting responsible resource development and strengthening communities across Ontario. Role Description The Executive Assistant, Governance & Policy Coordinator is a full-time, on-site role based in Mississauga, ON. This position provides executive support to senior leadership, including managing calendars, scheduling meetings, preparing correspondence, and organizing travel and expense reports. The role supports governance activities by coordinating board and committee meetings, preparing agendas and minutes, managing documentation, and maintaining accurate records and action logs. The coordinator also assists with policy and advocacy work by conducting basic research, organizing briefing materials, tracking regulatory developments, and supporting preparation of reports and presentations. Day-to-day responsibilities include general administrative support, maintaining files and databases, coordinating internal and external communications, supporting events, and liaising with members and partners to ensure timely follow-up and smooth operations. Qualifications Strong executive administrative assistance skills, including calendar management, meeting coordination, and document preparation. Experience providing executive support, including handling confidential information, prioritizing requests, and supporting senior leadership. Effective communication skills, both written and verbal, with the ability to interact professionally with board members, staff, and external stakeholders. Solid administrative assistance capabilities, including records management, data entry, and use of standard office software (e.g., MS Office, videoconferencing tools). Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines in a fast-paced environment. Experience supporting governance processes (e.g., board and committee logistics, minute taking, agenda packages) is an asset. Post-secondary education in administration, public policy, business, or a related field, or equivalent combination of education and experience. Familiarity with non-profit or association environments and interest in policy, government relations, or the aggregate/Infrastructure sector is considered an advantage.
