*Position Summary: *

Pool Supplies Canada is seeking a detail-oriented Administrative Assistant to join our growing team. Reporting to the Accounting Supervisor, this role will provide administrative support related to vendor documentation, invoice processing, and freight records.

This position is ideal for someone who is organized, dependable, and comfortable working with high volumes of data and documentation in a fast-paced environment. This is a new seasonal contract position created to support the busy season, with the contract ending in September.

Location: Pool Supplies Canada Head Office, 3100 Mainway, Burlington, Ontario Hours: Monday to Friday, on site, 9:00 AM ? 5:00 PM, with flexibility

Responsibilities

  • Enter and post vendor and freight invoices into Microsoft Dynamics Navision accurately and in a timely manner
  • Maintain and update vendor records, ensuring information is accurate and complete
  • Request vendor statements and supporting documentation as required
  • Match invoices to supporting documents including freight paperwork, bills of lading, and shipment records
  • Conduct freight quote checks to ensure billing aligns with agreed pricing and terms
  • Investigate invoice and vendor discrepancies, following up internally and with vendors to resolve issues
  • Review data for accuracy and completeness, correcting errors where required
  • Maintain organized digital filing systems for vendor and freight documentation
  • Support continuous improvement of administrative and data entry processes

Qualifications

  • 1?2 years of experience in an administrative, data entry, or office support role
  • Strong attention to detail and accuracy in data entry and record keeping
  • Comfortable working with large volumes of information and documentation
  • Proficient in Microsoft Office, especially Excel and Outlook
  • Experience with Microsoft Dynamics Navision is considered an asset
  • Strong organizational and time management skills
  • Excellent communication and follow-up skills

Pay: starting at $23/hr
