We are hiring an Accounting Assistant / Bookkeeper to support the day-to-day financial and accounting activities of our business. This role is well suited to someone who is organized, dependable, detail-oriented, and comfortable handling bookkeeping responsibilities with accuracy and confidentiality. The successful candidate will help maintain complete and accurate financial records, manage routine accounting transactions, and ensure that invoices, payments, reconciliations, and supporting documents are processed and maintained properly.
Primary Duties Record and maintain accurate day-to-day financial transactions in the company’s accounting system. Process vendor bills, employee expenses, credit card transactions, and other accounts payable items. Prepare customer invoices and assist with accounts receivable monitoring and collection follow-ups. Reconcile bank accounts, credit cards, vendor statements, and other financial accounts. Maintain organized digital and physical records for invoices, receipts, payments, expenses, and supporting documentation. Assist with payment preparation and ensure invoices receive the appropriate internal approvals. Review financial transactions and supporting documents for accuracy, completeness, and proper categorization. Assist with month-end and year-end accounting procedures, reconciliations, and supporting schedules. Support payroll administration, employee expense reimbursements, and related recordkeeping. Assist with GST and other government remittance preparation and recordkeeping. Maintain vendor and customer accounting records, including payment terms and contact information. Assist with cash-flow tracking, financial reports, spreadsheets, and internal accounting summaries. Coordinate with vendors, customers, financial institutions, accountants, and other external contacts regarding accounting matters. Provide documentation and supporting records for the company’s external accountant and year-end review. Identify discrepancies, missing documentation, overdue balances, and other accounting issues requiring follow-up. Help improve accounting processes, filing systems, and internal financial controls. Maintain the confidentiality of financial, employee, customer, and business information. Provide general accounting and finance administration support as required. Assist with other related duties and special projects as assigned.
Primary Qualifications Post-secondary education in accounting, bookkeeping, finance, business administration, or a related field. Two to five years of experience in bookkeeping, accounting assistance, accounts payable, accounts receivable, or a similar position. Practical experience using accounting software such as QuickBooks Online or a comparable platform. Good understanding of bookkeeping principles, account reconciliations, and financial recordkeeping. Experience processing invoices, payments, expenses, and bank and credit card transactions. Strong numerical accuracy and attention to detail. Ability to identify discrepancies and follow through until accounting matters are resolved. Strong organizational and time-management skills, with the ability to manage multiple deadlines. Professional written and verbal communication skills.
