STRABAG Inc. is seeking a highly organized and professional Executive Assistant to provide senior-level administrative support to executive leadership. The successful candidate will be proactive, detail-oriented, and comfortable working in a fast-paced, project-driven environment.
This role plays a critical part in ensuring smooth executive operations, effective communication, and efficient coordination across internal teams and external partners.
Essential Duties And Responsibilities
Provide comprehensive administrative support to senior executives, including calendar management, scheduling, and meeting coordination Manage executive communications, including screening calls, emails, and correspondence Coordinate domestic and international travel arrangements, including itineraries and expense tracking Prepare, format, and proofread presentations, reports, meeting materials, and correspondence Attend meetings, take minutes, and track follow-up action items Maintain organized electronic and physical filing systems Screen calls, emails, and requests, responding or redirecting as appropriate Assist with project coordination and follow-up on action items Act as a liaison between executives and internal departments, clients, consultants, and external stakeholders Support project coordination, documentation control, and special initiatives as required Handle confidential and sensitive information with professionalism and discretion Provide support with general office administration and reception duties during periods of reduced executive workload Collaborate closely with the Office Administrator to maintain smooth and efficient day-to-day office operations Assist with front desk coverage, office coordination, and administrative tasks as needed to support overall office functionality
Qualifications
Qualifications & Experience:
Diploma or degree in Business Administration, Office Management, or a related field (or equivalent experience) Minimum 3–5 years of experience as an Executive Assistant or office manager, or senior administrative support professional; experience supporting senior leaders preferred Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) Excellent written and verbal communication skills Exceptional organizational and time-management abilities Ability to work independently, manage competing priorities, and meet deadlines High level of professionalism, discretion, and sound judgment Experience in construction, engineering, or project-based environments is considered an asset
