As Wesgroup continues to grow, we are looking for a customer-service oriented Receptionist to join our Office Services team. This role plays an important part in creating a welcoming, organized, and efficient office environment for our employees, visitors, and partners. Reporting to the Manager, Office Services, the Receptionist will support the day-to-day operations of our downtown Vancouver office, ensuring the office runs smoothly, that common areas are well maintained, and that employees have the resources and support they need to do their best work. What You’ll Be Doing In this role, you will be a key point of contact for the office experience- helping create a positive first impression for visitors, supporting employees across departments, and keeping office operations running seamlessly. Responsibilities will include: Welcoming visitors and ensuring they have a positive experience when arriving at Wesgroup. Maintaining a clean, organized, and professional reception area and shared office spaces. Answering incoming phone calls and supporting general front-office inquiries. Retrieving, sorting, and distributing incoming and outgoing mail. Supporting boardroom bookings, meeting room set-up and take-down, and catering coordination as needed. Helping plan and organize office events, social gatherings, and Culture Committee initiatives under the direction of the Manager, Office Services. Managing office supplies, monitoring inventory, preparing orders, and ensuring photocopiers and common areas are stocked. Overseeing kitchen tidiness, weekly food orders, kitchen supplies, and equipment needs. Acting as an Office Fire and Safety Warden. Providing administrative support to departments such as People & Culture, Safety, and Accounting. Completing administrative tasks including data entry, printing, scanning, photocopying, faxing, mailing, filing, document retrieval, spreadsheet maintenance, and other ad hoc duties. Coordinating offsite storage requests. Troubleshooting office equipment needs and coordinating service requests with Technology or external vendors. Continuously looking for ways to improve office organization, set-up, and overall employee experience. What You Bring You are organized, proactive, and service-minded, with a genuine interest in supporting others and contributing to a positive workplace experience. You take pride in keeping things running smoothly, are comfortable juggling competing priorities, and bring a professional, approachable presence to every interaction. The ideal candidate will bring: Minimum 1 year of relevant administrative experience, such as office administration or administrative assistant experience, ideally in a professional, fast-paced, entrepreneurial office environment. Strong organizational, time management, and prioritization skills, with the ability to manage multiple competing priorities. Ability to work independently and take ownership of responsibilities with minimal oversight. Strong communication skills and the ability to interact professionally with employees across all levels and departments. A strong understanding of business professionalism, with the ability to work well under pressure while maintaining attention to detail. Exceptional interpersonal and written/verbal communication skills. A positive attitude and genuine desire to help others. Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and other web-based applications. A reliable, dedicated, self-motivated, and adaptable approach, with a willingness to learn and continuously improve. Expected Compensation The expected salary range for this role is $50,000 – $60,000 per annum. The actual salary offered will depend on individual experience, qualifications, geographic location, market conditions for the role, and internal equity.
