Position Overview:
St. George’s School is seeking a dynamic, coordination-driven professional to serve as our Senior School Coordinator. This role is responsible for a wide variety of administrative duties in support of the Senior School Principal. Regular duties include, but are not limited to, managing the office of the Principal, helping to coordinate the school calendar, arranging TOC coverage, and handling correspondence and publications. Special projects at times throughout the year include, but are not limited to, working collaboratively with the Events Officer to support various school events.
The Senior School Coordinator is central to the daily rhythm of the Senior School and requires a candidate who can navigate complex interpersonal dynamics with grace, efficiency, and absolute confidentiality.

Key Responsibilities:
Executive Support & Office Administration
- Executive Liaison: Serve as the primary point of contact and gatekeeper for the Office of the Senior School Principal, managing all correspondence, inquiries, and visitors with exceptional professional polish and discretion.
- Reception Coverage: Serve as the primary point of contact at the reception desk every Friday, ensuring a seamless handoff and uninterrupted service for visitors, staff, and students, maintaining office communications, workflow and school security protocols. Act as the first-response backup for the reception team during periods of illness, personal leave, or scheduled vacations.
- Financial Administration: Execute financial administrative duties, including budget tracking, invoice processing, and the preparation of detailed expense reports for the Principal’s office.
- Resource Management: Oversee the procurement and organization of school supplies and facility resources, ensuring staff rooms and printing hubs are maintained at optimal levels.
- Strategic Calendar Management: Proactively manage the Principal’s schedule and the master school calendar; identifying "tension points," resolving scheduling conflicts, and ensuring all academic periods and rotations are accurately reflected in the school database.
Communications & Publications
- Editorial Support: Act as a coordinator and editor for key senior school publications, including the Week Ahead and the weekly community eNews; synthesizing content from various stakeholders to ensure high standards of accuracy and tone.
- Presentation & Design Support: Curate and format high-impact presentation materials for Senior School assemblies, collaborating with the Principal, Vice-Principals, and Heads of Grade to ensure visual consistency and readiness.
- Document Authentication: Manage the flow of awards, certificates, and official correspondence requiring signatures or approval.
Operational Coordination & Logistics
- Academic Staffing: Coordinate the Teacher On-Call (TOC) coverage system in partnership with the Assistant Vice Principal (Academics) to ensure seamless classroom continuity.
- School Photography: Spearhead the logistical planning for official school photography, acting as the primary liaison for photographers to organize student portraits, retakes, and graduation sessions.
- Student Logistics: Manage the allocation and administration of student lockers and oversee the lifecycle of high-value "Lost and Found" items, including parent volunteer liaison.
Leadership Support & Event Collaboration
- Cross-Functional Support: Provide high-level administrative assistance to the Senior School Leadership Team, including report generation, record keeping, and the facilitation of programs led by the Vice Principals.
- Event Orchestration: Collaborate on the planning and execution of Senior School events, commemorative ceremonies, and assemblies, ensuring all logistical requirements are met with precision.
- Collaborative Oversight: Represent the Senior School office in bi-weekly Booking Team meetings to provide operational oversight and proactive problem-solving for upcoming campus activities.
- Other duties and projects shall be assigned as required.
Qualifications:
- Minimum 3 years of relevant experience.
- Post-Secondary Diploma in Business Administration, or relevant discipline, preferred.
- Demonstrated ability to take initiative and problem solve.
- Proven organizational and time management skills.
- Ability to juggle priorities between multiple key areas of responsibility.
- Excellent computer skills, with a superior knowledge of Google suite.
- Good communication and interpersonal skills.
- Good judgment and professional demeanor.
- Keen attention to detail.
