Reporting to the President and Chief Executive Officer, the Executive Assistant, Office of the President and Board of Governors will provide a variety of responsible executive administrative and secretarial support in the Office of the President and the Board of Governors.
What you will be doing:
- Direct all activities related to the President’s Office; develop strategies; ensures compliance with the President/Board office goals and objectives;
- Liaise with Colleges Ontario and the Ministry to assess strategic directions and future needs;
- Maintain detailed knowledge of the College’s mandate, policies, procedures, programs, and organizational structures; and ensure that related services respond to the needs of various stakeholders effectively;
- Is a non-voting member of and provides support to the Senior Management Team;
- Initiate, direct and implement assignments, projects and internal/external reports, review and analyze data submitted from surveys; identify relevant data and compile information/tables to assist in the development of college policies/procedures/programs;
- Maintain and monitor budget expenditures for the President’s/Board office;
- Monitor all ministerial reporting timelines to assure deadlines are met, follow up with appropriate departments, as required;
- Provide administrative and support services to the Board of Governors; collaborate with internal and external stakeholders to support the formulation and implementation of policies and procedures for the Board of Governors;
- Coordinate and assist with the education of all Board members on policy issues facing the Board; assist with the orientation of new Board members;
- Develop/coordinate tracking systems and electronic scheduling systems; ensure that all correspondence is assigned to appropriate staff and that responses meet required deadlines; and
- Prepares reports and correspondence for the President’s signature on own initiative, based on knowledge of the subject or from general instructions.

What you will need to be considered:
- Two-year (2) diploma in Office Administration – Executive or other relevant/relevant education may be considered;
- Seven (7) years’ experience in supporting a senior administration/executive;
- Excellent knowledge of budget preparation and financial and administrative systems; and
- Advanced experience coordinating meetings at a Senior Management and Board level.
The successful candidate will have strong leadership, analytical, planning, organizational, consulting and interpersonal skills. As well as, highly developed research, report writing and oral presentation skills, and excellent proficiency with computers including a variety of software applications, internet use and keyboarding is required for preparation of documents and presentations.
