About the role
ABOUT THE OPPORTUNITY
The Executive Assistant provides high-level confidential administrative and coordination support to the Executive Director. This position plays a key role in supporting the day-to-day operations of the Executive Director?s office through scheduling, meeting coordination, communications management, document preparation, travel coordination, and follow-up on organizational priorities and deliverables. The role is responsible for preparing reports, briefing materials, correspondence, agendas, and meeting records, while maintaining organized systems, tracking action items, and ensuring efficient executive office operations.
The Executive Assistant also supports organizational initiatives by assisting with research, reporting, project coordination, and communications as directed by the Executive Director. The successful candidate will demonstrate professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment while maintaining effective working relationships with leadership, staff, community members, and external partners. Other related duties as required.
WHAT YOU BRING
Knowledge & Experience
- Minimum three (3) years? experience in an administrative or executive support role.
- Experience supporting senior leadership, governance, or operations is an asset.
- Experience with meeting coordination, agenda preparation, and minute-taking.
- Knowledge of administrative practices, records management, and office procedures.
- Understanding of governance processes and/or First Nations administration is an asset.
Skills & Abilities
- Strong organizational and time management skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to interact professionally with a wide range of individuals.
- Proficient computer skills such as MS Office Suite and/or Google? Workspace products.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to work independently and take initiative in a fast-paced environment.
- Ability to analyze information and prepare clear, concise summaries and reports.
*Other Requirements *
- Compliance with BC Immunization program and TB Screening.
- Satisfactory completion of a police information check
- Ability to provide own transportation to work.
- Valid Class 5 BC Driver?s License and Drivers Abstract.
- Ability to travel and work flexible hours as required.
Optional/Assets
- Certificate or diploma in Office Administration or related field.
- Experience working in First Nations governance or community-based organizations.
- Ability to speak Dene and/or Cree.
WORK SETTING
The regular work schedule is Monday to Friday, 8:30 a.m. to 4:30 p.m. (excluding holidays), 35 hours per week. Flexibility in hours may occasionally be required to support travel, evening work, public meetings, and organizational priorities. Overtime may occasionally be required with approval from the Executive Director.
