Job Summary
The Department of Family Medicine (DFM) strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Medical Education Operations Manager, the Medical Education Assistant will serve as the primary administrative support for the Department of Family Medicine Education Programs, coordinating communications, inquiries, and daily operations with minimal supervision. Provides comprehensive support to program leadership, faculty, residents, and medical students by coordinating events, materials, reports, and program activities across Postgraduate, Undergraduate, and Continuing Professional Development programs.
Key Responsibilities

Provide comprehensive administrative support to undergraduate, postgraduate, faculty development, residency admissions, accreditation, and education leadership across the Department of Family Medicine.

Coordinate meetings, schedules, correspondence, files, databases, and calendars; prepare and distribute reports, records, presentations, minutes, and program documentation using multiple software platforms.

Serve as a primary point of contact for learners, faculty, preceptors, and applicants, responding to inquiries and providing guidance on policies, procedures, programs, and education processes.

Support education programs and events including orientations, CaRMS admissions, accreditation reviews, committee work, retreats, site visits, faculty development activities, and special academic events.

Administer evaluations, surveys, end‑of‑residency documentation, verification requests, and records management to ensure completeness, accuracy, and compliance with regulatory and accreditation requirements.

Assist with operational and financial processes including budget tracking, promotional materials, website updates, faculty development tracking, and general office and reception coverage.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications

Business/Administrative Professional diploma with approximately three to five years’ related work experience (or equivalent combination of training and experience).

Proven experience in MS Office suite, distributed meeting technology such as Zoom or MS Teams, and Adobe with the demonstrated ability to learn new programs quickly.

Strong interpersonal, teamwork, and communication (written and verbal) skills.

Excellent attention to detail, excellent time management, organizational and multi-tasking skills while working in a busy, dynamic environment.
Assets

Knowledge of, or experience in a university and/or medical environment.

Advanced skills in Word and Excel.

Experience using One45 and Dalmedix.
