Job Summary
Under the auspices of Dalhousie’s Medical Research Development Office, the Pulse Biomed Hub ( PBH ) is an innovation and entrepreneurship sandbox and early-stage accelerator at Dalhousie University dedicated to improving health outcomes through interdisciplinary collaboration across the Faculties of Dentistry, Health, and Medicine. Pulse supports students, faculty, and community partners in developing and commercially launching creative solutions to complex health challenges through program training, events, and experiential learning opportunities. Reporting to the PBH Program Manager, the Systems and Operations Program Assistant will lead the development of organizational systems using Airtable to support programming, project management, stakeholder engagement, and operational efficiency, as well as support the PBH team on basic back in day-to-day activity needed to maintain the PBH website.
Key Responsibilities
Design, build, and maintain Airtable databases and organizational systems for PBH activities. Develop standard operating procedures, maintenance manuals, training materials, and user guides. Under the direction of the PBH program manager, develop workflows, templates, forms, automations, and dashboards to support programs and initiatives; and create systems for event management, partnership tracking, reporting, and project coordination. Working with guidance from the PBH program manager, organize and centralize existing information to improve accessibility and efficiency. Identify opportunities for process improvement and implement innovative operational solutions. Under the direction of the PBH program manager, generate reports and analytics to support evaluation and decision-making. Collaborate with PBH team, students, faculty, and community partners to ensure systems align with organizational needs.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
Undergraduate degree in Computer Science or related field plus approximately three to five years’ relevant experience (or equivalent combination of training and experience). Experience using Airtable, including databases, automations, forms, and reporting tools as well as demonstrated excellent software coding and program development skills. Experience in operations, systems administration, process improvement, or related areas. Strong organizational, analytical, and project management skills with the demonstrated ability to manage multiple projects simultaneously while working independently and as part of a team. Excellent documentation and communication (verbal and written) skills. Demonstrated interest in innovation, entrepreneurship, and improving health outcomes.
Assets
Experience in post-secondary, health, innovation, or community organizations.
