About the role
GetFresh Ventures works with growing companies to sharpen their strategy, improve their growth engine, and turn promising ideas into new ventures. We are intentionally lean, practical, and hands-on. The work moves quickly, touches a lot of different businesses, and depends on clear follow-through.
This role is part operations coordinator, part executive support, and part AI-native systems thinker. It is for someone who enjoys bringing order to busy environments and already uses AI as part of how they work. You will help keep calendars, inboxes, client follow-ups, documents, travel, logistics, and internal systems moving cleanly, using tools like Claude, ChatGPT, and lightweight automations to draft, summarize, prioritize, organize, and follow through faster.
This is a coordination role with real ownership. You will not just be asked to move meetings around. You will be trusted to notice what needs attention, clarify the next step, and close the loop. If a contract needs signing, a client needs a follow-up, a trip needs coordinating, or an opportunity needs to be routed, you will help make sure it gets handled thoughtfully and on time.
It is also a chance to learn from the inside. You will be exposed to our own operations and to the operations, marketing, sales, and growth challenges of the companies we work with. You will sit close to the work, meet interesting operators and founders, and have room to shape the role around the places where you create the most leverage.
What you would own
The operating rhythm around leadership: inboxes, messages, calendars, travel, logistics, meeting prep, and follow-ups, using AI to summarize threads, surface priorities, draft replies, and turn loose conversations into clear next steps. Client and project coordination across a variety of industries. You will help keep work moving across different companies, projects, and opportunities, which means you will see how real operators think about growth, marketing, sales, operations, and execution. AI tools and workflows that make the business sharper. You will look for places where repeated work can become templates, saved prompts, automations, checklists, or agent-assisted workflows. Internal systems that people can trust: CRM, Linear, documents, handoff notes, lead qualification, and follow-up tracking, all kept current enough that the team can see what is happening without asking around. Practical executive support for the principals when needed, including occasional personal/admin coordination handled with discretion and good judgment. The "who is on top of this" question. You help make ownership clear, keep commitments visible, and make sure work does not stall. Learning as part of the job. You will be close to client work, internal operations, sales conversations, marketing problems, and new venture ideas, with room to build judgment and make the role your own over time.
What great looks like in the first 30 days
Calendars, follow-ups, and active commitments are easier to see and trust. The highest-priority follow-ups are visible without anyone having to remember them from memory. Travel, meeting logistics, and principal support are handled calmly and ahead of time. Inbound opportunities are summarized, qualified, and routed promptly. Internal systems, CRM, and email stay aligned on what is actually happening. You have created useful AI-assisted patterns for recurring work, such as inbox triage, meeting prep, follow-up drafting, lead qualification, or task updates. You have identified one or two places where the role can grow based on your strengths and what the business needs.
Who you are
AI-native in practice. You already use Claude, ChatGPT, or agents in your everyday work. You draft, summarize, research, organize, and improve workflows with AI, then edit carefully and use judgment before anything goes out.You do not need to write code. You do need to reach for AI by reflex. Self-directed and comfortable with ambiguity. You can take an outcome, ask the few questions that matter, and move without needing every step written out. Reliable with follow-through. You would rather over-communicate that something is done than leave peoplewondering. Low ego about the work. You are equally comfortable rescheduling a call, chasing a signature, cleaning up a CRM record, or improving the workflow so the task is easier next time. Curious about business. You like being around operators, clients, sales conversations, marketing problems, and the practical details of how companies run. Someone who actually cares about getting the details right and making other people's work easier.

You prefer building process for its own sake. We need just enough structure to move faster. You tend to go quiet when blocked. Clear, early communication matters here.
The shape of it
This is a close-up role inside a small venture studio. You will see how businesses are assessed, improved, operated, marketed, and sometimes built from scratch. For the right person, it can grow well beyond coordination as you take ownership, build trust, and find the parts of the business where you can contribute most.
Vancouver-based or close enough to be in the room sometimes. We start with a contract trial so both sides can see whether the fit is strong. Strong fit converts to full-time.
