About The Role
Gilmore Wellness Clinic is seeking a highly organized, patient-focused Wellness Office Assistant with mandatory JaneApp experience to join our growing team. This is an excellent opportunity to build your career in a modern, multidisciplinary wellness clinic renowned for exceptional client care and advanced medical and aesthetic services.
This part-time position offers structured hours, supportive leadership, and room for long-term growth.
Key Responsibilities
Patient Care & Scheduling Manage patient bookings, waitlists, reminders, and follow-up appointments using JaneApp. Support patients in person, by phone, and by email with professionalism and warmth. Administrative & Billing Support Process patient billing and payments, including claims from insurance and third-party providers. Coordinate and track wellness and healthcare documentation. Manage Jane-App bookings and related billing. Communication & Front-Desk Operations Answer and route calls professionally. Communicate effectively with patients, practitioners, and management. Maintain clinic cleanliness, safety, and a welcoming environment. Support day-to-day operational tasks and assist with additional duties as assigned.
Qualifications
MUST have hands-on experience with JaneApp (mandatory requirement). Previous experience in a medical, wellness, or healthcare setting is a strong asset. Excellent verbal and written communication skills. Strong organizational abilities with close attention to detail. Able to multitask, prioritize, and work effectively in a fast-paced clinic. A collaborative team player who can also work independently.
Schedule
Approximately 20-25 hours per week expected, and could be more
Compensation & Benefits
Pay: $20.00–$22.00 per hour (based on experience) Extended health care benefits after three months of probation 20%–30% staff discount on wellness services after the probation period Supportive work environment Flexible schedule On-site workplace in a modern, growing wellness clinic
