Location: Victoria, BC
Salary: $54,000 - $65,000 (dependent on experience)
Candidate Profile
The Project Administrator will collaborate with Project Engineers to effectively administer and organize our projects. This role will primarily focus on supporting project execution through all phases, with a particular emphasis on the construction administration stage. A strong ability to support a team is essential, as is the capacity to interact and communicate effectively with clients and contractors.
The ideal candidate will possess strong writing and organizational skills, as well as proficiency in software such as Excel, Word, Newforma, and Bluebeam. Additionally, a proactive approach to continually improving and refining processes is crucial.
Key Responsibilities
Duties include, but are not limited to:
- Respond to external RFPs and assist in proposal writing.
- Identify and issue Additional Services Authorizations.
- Track outstanding submittals and follow up with clients.
- Edit and format technical reports.
- Process construction documentation and correspondence daily through Electric Data Management Systems (EDMS).
- Collaborate with Accounts Receivable to ensure accurate client billing.
- Enter required data accurately and efficiently.
- Maintain daily communication with the engineering team.
- Upload and download files from FTP sites as needed.
- Log all received submittals, RFIs, SSIs, reports, and related documents.
- Establish project template spaces to systematically track all documentation throughout each project's lifecycle.
Professional Qualifications & Experience
EDUCATION
- Degree or diploma in administration, project management, or a related field.
EXPERIENCE
- 1–3 years of experience in administrative work, with preference given to candidates familiar with the A/E or construction industry.
- Proficiency in Bluebeam and Newforma is considered an asset, along with experience in other EDMS systems.
SKILLS
- Strong organizational and communication skills.
- Ability to work effectively both independently and in a team environment.
- Motivated self-starter with a proactive approach.
- Excellent multitasking abilities.
- Detail-oriented with a focus on accuracy.
- Proficient in maintaining an organized file structure for all documentation.
- Experience collaborating with document controllers to develop and maintain procedures.
- Background in financial management or accounting is a plus.
