Administrator, Leasing, Procurement and Facilities
Salary: $56,680 to $77,340 per year
Location: Slave Lake

Qualifications:
- Diploma in Business Administration, Supply Chain Management, Facilities Management, or a related field an asset
- Minimum 2–3 years of experience in procurement, leasing, or facilities administration
- Strong knowledge of Alberta procurement regulations and public sector practices
- Proficiency in Microsoft Office Suite and procurement software
- Excellent organizational, communication, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- Valid Alberta Class 5 driver’s license and clean criminal record check
- A combination of education and relevant experience may be considered.
Nature and Scope of Work:
Reporting to the Senior Director, Facilities & Ancillary Services, the Administrator, Procurement, Leasing and Facilities will play a key role in supporting the operational efficiency of the Facilities & Ancillary Services department. This position will serve as a detail oriented and proactive administrator responsible for coordinating procurement processes, managing leasing agreements, and providing administrative support for facilities operations across multiple campus locations.
Duties and Responsibilities:
Procurement Administration
- Coordinate and manage procurement processes in compliance with college and provincial policies
- Prepare and issue purchase orders, RFPs, and tender documents
- Track and reconcile procurement expenditures and budgets
- Liaise with vendors and suppliers to ensure timely delivery and quality assurance
- Maintain accurate records of contracts, warranties, and procurement documentation
- Other duties as necessary.
Leasing Coordination
- Administer leasing agreements for college facilities
- Monitor lease terms, renewals, and compliance with contractual obligations
- Serve as the point of contact for landlords, tenants, and internal stakeholders
- Assist in lease negotiations and documentation
- Other duties as necessary.
Facilities Support
- Assist in the coordination of maintenance schedules, service contracts, and facility upgrades
- Support space planning and utilization across campuses
- Maintain inventory of assets and equipment
- Collaborate with Facilities Trades Technicians and external contractors as needed
- Other duties as necessary.
Administrative Duties
- Prepare reports, correspondence, and presentations for internal and external stakeholders
- Maintain organized digital and physical filing systems
- Support budget tracking and forecasting for facilities and leasing operations
- Provide excellent customer service to staff, students, and external partners
- Other duties as necessary.
Skills and Knowledge:
- Public Sector Procurement Practices: Familiarity with Alberta’s public procurement regulations, trade agreements (e.g., NWPTA, CFTA), and ethical sourcing
- Contract Management: Understanding of contract lifecycle, terms and conditions, and risk mitigation strategies
- Facilities Management Systems: Experience with computerized maintenance management systems (CMMS) or asset tracking software
- Financial Acumen: Ability to interpret budgets, track expenditures, and perform cost-benefit analyses
- Lease Administration: Knowledge of commercial leasing principles, property management, and legal documentation
- Project Coordination: Skills in managing timelines, resources, and stakeholder communications for facilities-related projects.

This position is covered under the Collective Agreement between Northern Lakes College and the Alberta Union of Provincial Employees.
