Who we need

We are hiring a Sample Logistics Coordinator to support our Ottawa Service Centre. This is a hands-on, operational role responsible for managing the intake, processing, and shipment of environmental samples while ensuring accuracy, efficiency, and a high level of client service.

This position plays a critical role in keeping the service centre running smoothly day to day. You will be the first point of contact for clients, the gatekeeper of sample integrity, and a key operator in ensuring timely and accurate sample flow to our laboratory network.

This is a fast-paced environment where priorities shift quickly. Success in this role requires someone who is proactive, highly organized, detail-oriented, and comfortable taking ownership of a busy operational site.

This existing role is based in Bureau Veritas Ottawa office, expected to work on-site 5 days a week during standard business hours.

How you will make an impact

Support sample reception operations. You will receive, unpack, organize, and process environmental samples while ensuring accurate Chain of Custody documentation and compliance with regulatory requirements. Greet and assist clients onsite. You will act as the first point of contact for clients, providing professional, friendly service while reviewing sample submissions and resolving basic inquiries. Ensure accurate sample data entry. You will enter sample information into LIMS, assign correct test codes, and maintain data integrity aligned with holding times and analytical requirements. Coordinate sample logistics and shipping. You will prepare and package samples for transfer to the main laboratory, ensuring proper preservation, temperature control, and courier coordination. Maintain inventory and laboratory supplies. You will monitor stock levels, prepare bottle orders, and ensure adequate supplies are available to support daily operations. Support quality and compliance standards. You will follow QA/QC procedures, SOPs, and regulatory requirements including Chain of Custody and Transport of Dangerous Goods regulations. Monitor facility equipment and conditions. You will check and record temperatures, support calibration activities, and escalate maintenance issues as needed. Maintain a safe and organized work environment. You will conduct housekeeping duties and monthly safety inspections while ensuring adherence to health and safety protocols. Escalate issues and support continuous operations. You will identify routine and non-routine issues, escalate appropriately, and support resolution to maintain workflow continuity. Collaborate with internal teams. You will work closely with laboratory staff, customer service, and business development teams to ensure smooth sample flow and strong client service delivery.

What you bring

Customer-focused communication. You are confident interacting with clients in person and providing professional, clear, and positive service in a busy environment. Strong attention to detail. You are highly accurate with data entry, documentation, and sample handling where precision directly impacts results. Operational or scientific foundation. Post-secondary education in Chemistry, Biology, Environmental Science, or related field is preferred. Logistics or inventory experience is also highly valued. Technical proficiency. Comfortable using Microsoft Excel, Outlook, Teams, and internal data systems. LIMS experience is an asset. Adaptability under pressure. Able to manage shifting priorities, urgent requests, and multiple concurrent tasks in a fast-paced service centre. Physical capability. Able to lift up to 40–50 lbs and handle sample coolers, containers, and materials safely. Initiative and ownership mindset. Proactive problem-solver who escalates appropriately and takes responsibility for maintaining smooth operations. Positive, team-oriented approach. Works well independently and collaboratively, contributing to a supportive and high-functioning small team.

Compensation

This posting is for an existing vacancy. The salary range for this role is $19 to $21 per hour. Our salary ranges reflect the range of skills and experience required for the posted position. The final offer amount for this role will depend on geographical region, applicable experience, internal equity, and the skillset of the candidate.
