Explore your next role:
The Reporting & Payroll Support Coordinator provides specialized reporting, UKG Workforce Management administration, compliance reporting and overall administrative support. The position serves as the subject matter expert and primary administrator for Workforce Management and provides backup support to the Senior Payroll Specialist with payroll processing as required, ensuring appropriate segregation of duties and internal controls.
Reporting
- Develop and administer Payroll reports monthly
- Develop and administer metric reporting for Human Resources monthly, quarterly and annually
- Develop and administer Procurement reports for internal stakeholders
- Develop and administer ITB reports as needed
- Assist with preparation of compliance governance reports for the executive and applicable management teams regarding compliance status, emerging risks, and legal or regulatory changes.
- Assist with the preparation of detailed compliance reports for federal agencies and internal stakeholders.
- Compile employee data, prepare and submit annual narrative report, and develop initiatives as it relates to Employment Equity program
- Compile data, prepare and submit annual workplace and harassment report in accordance with Federal compliance requirements
- Compile data, prepare and submit quarterly labour statistic reports in accordance with Federal compliance
- Adhoc reports as required
Administration
- UKG Training Module support for implementation and SME administration
- Serve as the primary administrator and subject matter expert for UKG Workforce Management (WFM).
- Maintain WFM system configurations including pay rules, schedules, accruals, attendance programs, workflows and related system functionality.
- Troubleshoot WFM issues and provide support to managers and employees.
- Coordinate WFM testing, upgrades, implementations and enhancements.
- Monitor WFM processes and recommend improvements to optimize efficiency, accuracy and compliance.
- Maintain appropriate segregation of duties between WFM administration, employee data maintenance and payroll processing activities.
- Collaborate with accounting and procurement to ensure accurate categorization of ITB policy-related expenses.
- Coordinate with payroll to verify that payments related to ITB workforce commitments (eg salaries for project-specific roles) are timely and accurate.
- Reconcile expenditures with accounting, procurement and payroll to maintain alignment with ITB policy requirements
- Administer logbook program, tracking and follow up for technicians working towards licensing
- In collaboration with Human Resources team, develop and administration of three year new employee onboarding program
- Ensuring the timely and accurate data migration of key documents between systems.
- Create and update Human Resources documentation including presentations, policies, procedures, forms, etc
- Develop subject matter expertise on internal systems such as UKG, WINAIR, Business Central etc.
- Development and implementation of processes including documentation and training for all key systems UKG, WINAIR, Business Central and other systems as needed while remaining compliant with internal and external control requirements.
- Special Projects as assigned.
Payroll Processing
- Provide payroll processing support as required while maintaining appropriate segregation of duties between payroll and WFM administration.
- Act as backup for full cycle payroll processing during absences of the Sr. Payroll Specialist.
- Ensure accurate and timely calculations for wages, overtime, special payments, source deductions and payroll, in compliance with federal statutes.
- In collaboration with the Sr. Payroll Specialist, administer financial aspects payroll issues (i.e., EHT, WSIB, all Benefit Programs, CRA Source, etc.)
- Identify issues and develop corrective action plans as they relate to payroll processing.
- In collaboration with the Sr. Payroll Specialist, import payfiles, post and create journal entries
- Assist with year-end activities such as preparing tax slips/returns are produced and processed accurately and in a timely manner.
- Keep current on new regulatory requirements relating to labour and payroll.
Your Distinctive Ingredients for Success:
- High school diploma required.
- Post-secondary education in Business or a related field is preferred.
- Payroll Compliance Professional (PCP) designation is preferred.
- Minimum of 5 years of relevant experience.
- Demonstrated experience with UKG is required.
- Strong proficiency in payroll/accounting systems and advanced Excel skills.
- Strong analytical and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to maintain confidentiality and exercise sound judgment.
- Reliable, self-motivated, and detail-oriented.

You must be legally eligible to work for a Canadian company (e.g., be a Canadian citizen, permanent resident of Canada, or possess a valid work permit) and provide a clear Criminal Background Check.

- Hours of work are a regular 40-hour work week, Monday to Friday
