Role Description
This is a full-time, on-site role located Dundas, ON, for an Administrative Assistant as the needs. In this role, you will support our multidisciplinary team by owning day-to-day coordination of the front office, client scheduling, intake support and providing exceptional customer service to clients, staff, and stakeholders.

Qualifications
Required:
- Diploma or degree in Office Administration (Health preferred), Social Services, Psychology, or a related field.
- Minimum 3 years of experience in a client-facing or clinical/healthcare administrative role.
- Experience supporting a multidisciplinary team in healthcare, therapy, or community services.
- Strong organizational, multitasking, and time management skills.
- Excellent verbal and written communication skills.
- Strong customer service orientation and professionalism
- Knowledge of privacy legislation (PHIPA/PIPEDA) and confidentiality practices.
Assets:
- Start as soon as possible.
- Familiarity with EMR systems (Jane, Connecteam, etc.).
- Knowledge of Indigenous Communities and ability to support culturally responsive care. Self-education is encouraged and ATS provides training opportunities.
- Possess the flexibility and time management skills necessary to prioritize an ever-changing caseload.
- Flexibility, problem solving skills, creativity, and organizational/time management skills.
- Strong computer skills and familiarity with video conference software (e.g., Zoom), Canva and the Microsoft Office ecosystem (e.g., TEAMS, SharePoint, Outlook, Word, Excel, PowerPoint).
Key Responsibilities
Administrative Support
- Provide day-to-day administrative support to leadership and team members.
- Prepare, edit, format, and distribute correspondence, reports, presentations, and other documents.
- Maintain organized electronic and physical filing systems in compliance with PHIPA/PIPEDA.
- Maintain and update internal trackers, dashboards, and administrative systems to support clinic operations.
- Track office supplies and support day-to-day reception and front office operations.
- Liaise with the finance team, funders, and families regarding invoicing, authorizations, and required documentation.
- Support general office administration tasks.
Intake, Scheduling & Care Coordination
- Support client intake processes, including initial inquiries, service matching, consent documentation, and onboarding.
- Support clinic flow and room bookings to ensure efficient and uninterrupted service delivery.
- Proactively adjust schedules in response to cancellations, changes, or urgent needs.
