Office Administrator Permanent, 1.0 FTE The Upper Grand Family Health Team (UGFHT) offers the opportunity to join an innovative, community-based primary health care team serving Arthur, Fergus, Elora and surrounding areas. We are looking for a talented team player to join us as we continue to provide a model of excellence in rural primary health care.
Position Summary The Office Administrator will support a new Nurse Practitioner led clinic and will play an integral role in helping to establish the clinic. This is a unique opportunity to be part of a team that is building a new primary care clinic from the ground up to create an exceptional patient experience. The Nurse Practitioner clinic will be a collaborative, innovative and patient centered environment focused on continuous improvement.
The Office Administrator will be one of the first points of contact for clients, providing a positive experience at the clinic. The Office Administrator will be responsible for a wide variety of administrative tasks, including keeping the office running smoothly and maintaining a warm, welcoming and clean professional environment throughout the office. The successful candidate will report directly to the Upper Grand Family Health Team’s Executive Director. Occasional, after-hours support may be required for this position.
Compensation $27.54 - $31.60 per hour, depending on experience
Responsibilities Coordinate daily clinic operations Greet clients in a professional, welcoming manner and direct them appropriately Answer, screen and transfer telephone calls Schedule appointments and manage staff schedules Ensure completeness and accuracy of patient information Address inquires, concerns and complaints in a timely manner Promote confidentiality and privacy in all interactions Receive, sort and deliver all incoming mail, faxes and courier/supplier deliveries Establish and maintain good working relationships with clinic staff, UGFHT team members, and outside organizations and agencies Support team communication between clinic and Upper Grand FHT Monitor and order office and medical supplies as needed Maintain a clean, safe and well-maintained clinic environment Problem solving and addressing issues with technology or phones Assist with office errands as needed Support implementation of clinic policies and procedures Assist in quality and process improvement initiatives Provide feedback in the development and evaluation of policies and procedures as requested Act as Health and Safety representative for the NP clinic site Act as backup for the clinic RPN, where clinically appropriate, when required Other duties as assigned to support operations
Skills and Abilities Excellent interpersonal and communication skills Ability to multi-task, prioritize and manage time effectively in a fast-paced environment. Ability to prioritize a wide range of job activities with accuracy and speed Strong organizational skills and attention to detail Ability to work independently and collaboratively in a fast-paced team environment Strong time management abilities to effectively set priorities and complete tasks on time Ability to keep confidential all information regarding clients, patients, health care providers, employees, business operations and clinic/team functioning Strong problem-solving skills to effectively support clients and team members Ability to deal with people in distress, utilizing de-escalation skills
Requirements Successful completion of grade 12 required Completion of a post-secondary diploma or certificate in Office Administration, Health Office Administration, or a related field, an asset Minimum 3 years of experience in a receptionist or administrative support role; healthcare or clinic setting preferred Proficiency in the use of computer and phone systems, including Microsoft Office Suite, Electronic Medical Records (EMRs - Telus PS Suites an asset) Experience working with, and knowledge of the local health care system and community resources an asset Strong customer service orientation and a demonstrated ability to handle difficult situations as they arise; ability to be diplomatic, tactful and discreet in working with our clients, their family members, physicians, NPs and coworkers Flexibility to accept and adapt to changes in job activities and responsibilities Understanding of PHIPA and healthcare privacy regulations, an asset Valid Ontario Drivers’ License and access to own reliable vehicle, preferred Vulnerable Sector Check required Proof of immunization status based on recommendations from the Canadian Immunization Guide required Hours of work are Monday to Friday, in the office

The Upper Grand Family Health Team provides a broad range of health-care services that focus on health promotion, disease prevention and chronic disease management.
Our clinical team consists of nurse specialists, dietitians, mental health therapists, nurse practitioners, health promoter, pharmacist, occupational therapist and physician assistant who are supported by administrative staff to serve the residents of Centre Wellington, Arthur and surrounding areas. We work closely with our affiliated physicians to ensure that patients are well-supported to achieve their healthcare goals.
