The Opportunity

Reporting to the Senior Manager of Building Operations, the Technical Operations Administrator plays a key role in supporting the day-to-day administrative and financial operations of the Technical Operations department. This position is responsible for coordinating purchase orders, processing invoices and tenant billings, supporting the administration of the asset management system (Asset Planner) and maintaining accurate operational records and filing systems.

The ideal candidate brings strong organizational and administrative skills, demonstrates sound judgement and can effectively manage multiple priorities while maintaining a high standard of work.

Primary Responsibilities

Duties include but are not limited to:

  • Administering and maintaining the Purchase Order system, including vendor setup, invoice reconciliation and purchase order tracking.
  • Processing accounts payable invoices and preparing maintenance and utility billings for tenants.
  • Coordinating with Property Managers regarding tenant maintenance and service requests.
  • Supporting month-end procedures and preparing operational and financial reports.
  • Maintaining departmental filing systems and ensuring records comply with corporate recordkeeping standards.
  • Administering computerized work order and asset management systems with accuracy and attention to detail.
  • Reviewing and processing maintenance personnel timesheet information and ensuring chargeable costs are captured appropriately.
  • Preparing, editing and formatting correspondence and other departmental documentation.
  • Performing other duties as assigned.

What We Want from You

  • 4 years of experience in an administrative support role (preferred).
  • Administrative Assistant Diploma (required).
  • A clear Criminal Record Check (required).
  • A combination of education and experience may be considered.
  • Intermediate proficiency in Microsoft Excel and basic proficiency in Microsoft Office applications.
  • Experience with accounting software or computerized work order systems is considered an asset.
  • Excellent communication, interpersonal and customer service skills.
  • Strong organizational skills with the ability to meet deadlines and manage competing priorities.
  • Ability to work independently and collaboratively within a team environment.
  • Familiarity with a trades or building operations environment is considered an asset.
  • Demonstrates initiative, sound judgment and attention to detail.
