BASIC FUNCTION:
The position is primarily responsible for the effective dissemination of all mail correspondence, the maintenance of mail room related equipment and for assistance and relief of reception. This position will also provide support for site security and facilities needs, for general office and clerical assistance and, with document control requirements, as a trained document controller.
RESPONSIBILITIES:
MAIL ROOM
- Sorting and distributing all incoming mail
- Sorting and processing all outgoing mail and maintaining postage meter
- Maintains current mail distribution list and mail-slot names
- Sending, sorting and distributing faxes
- Functions as the “Key Operator” for the general photo copiers and fax machine and maintains toner, staples and paper as required
- Contacts service technicians for business office machines when required
- Sources and recommends new or additional equipment or supplies
- Orders and maintains copy paper supply stock in mail room
- General good housekeeping for mail room
RECEPTION
- Relieving at reception and acting as primary backup, including issuing security access cards and parking decals.
OFFICE SERVICES
- Photocopying, shredding, binding, cutting and hole punching when requested
- Miscellaneous clerical, secretarial and data entry duties as requested by various users site-wide
- Document control support as required
KNOWLEDGE AND SKILLS:
The essential knowledge and skills required in this position lie in the areas of customer service, organization, and multi-tasking. Quick-paced, initiative, attention to detail, and a team player are all attributes required to be effective, as is the ability to handle repetitive activities, and to be a forward thinker. Good computer skills and familiarity with spreadsheet programs, word processing, and the internet. A good command of the English language and good oral communication skills are necessary when working at reception.
MINIMUM QUALIFICATIONS AND YEARS OF EXPERIENCE:
High school graduation with basic training in office procedures with 2 years experience in a similar position.
Applicants must be legally able to work in Canada on a permanent basis (Canadian Citizen or Permanent Resident).
Salary : $48,110.00 CAD plus our comprehensive employer-paid benefits plan
