Position Overview
As a Logistics Coordinator, you will play a key role in coordinating the mobilization of skilled workers to projects across Canada. You will manage travel, accommodations, documentation, vendors, and deployment logistics to ensure workers arrive safely, on schedule, and fully prepared to begin work.
Schedule and Duration
This position is a six (6)-month contract with the opportunity for extension or conversion to permanent employment. Work schedules may include:
- 14 days on / 7 days off
- 10 days on / 4 days off
- 5 days on / 2 days off
Flexibility to work evenings, weekends, statutory holidays, and extended hours is required.
This is an office-based position that supports operational schedules. Rotations reflect business needs and employees return home at the end of each workday.
Key Responsibilities
In this role, you will:
- Coordinate all pre-departure activities for each worker group, keeping schedules, itineraries, and worker records up to date.
- Confirm that pre-departure requirements are complete. Collect and submit worker’s orders and PPE sizing.
- Book and confirm flights, short-term accommodation, ground transportation, airport transfers, and other required services.
- Coordinate the vendors supporting pre-departure, arrival, and settlement, and keep booking and confirmation records accurate.
- Act as the main point of contact between operations, vendors, and internal teams, and manage group communications.
- Prepare a complete, ready-to-deploy documentation package for each worker and keep pre-departure records current.
- Hand over each group to the Deployment Specialist, passing on all documents, itineraries, confirmations, and worker details.
- Track and escalate risks, delays, and outstanding issues.
Qualifications
- High school diploma or equivalent required; post-secondary education in Logistics, Supply Chain, Business Administration, Tourism, Operations Management, or a related field is preferred
- 3–5 years in logistics, coordination, travel booking, operations, or onboarding.
- Experience arranging travel, accommodation, and vendor services is an asset.
- Strong organization and attention to detail; able to manage several groups and priorities at once.
- Excellent interpersonal, verbal, and written communication skills.
- Proficient in Microsoft 365 applications, including Excel, Word, Outlook, PowerPoint, Teams, and SharePoint.
- Experience with Applicant Tracking Systems (ATS), workforce management platforms, or ERP systems is considered an asset.
- Bilingual in English and Tagalog is strongly preferred.
Licensing, Travel & Eligibility
- Valid Class 5licensewith a clean driving record.
- Reliable personal vehicle for approved work travel (Mileage reimbursement is provided for approved work travel using a personal vehicle).
- Able to travel around Edmonton, Sherwood Park, and Fort Saskatchewan (about 25%).
- Flexible to join occasional early-morning or evening meetings with international partners.
- Fluent in written and spoken English.
- Canadian citizens and permanent residents are encouraged to apply.
- Applicants must be legally authorized to work in Canada at the time of application.

This is a safety-sensitive position. Successful candidates must complete a criminal background check and a pre-employment drug and alcohol test.
