Position Overview: We are a busy law firm specializing in Criminal and Real Estate Law, seeking an outgoing and detail-oriented Receptionist/Administrator to join our team. The ideal candidate will provide crucial adminsitrative support to our principal lawyer and clerks to ensure the smooth day-to-day operations of the firm. Strong proofreading skills with attention to detail are essential, as the position involves managing sensitive files where accuracy is critical.
Key Responsibilities: Greet clients in person, maintain a welcoming environment, and offer refreshments upon arrival Complete daily bank runs and manage time-sensitive document deliveries Make and receive phone calls, including responding to inquiries and providing updates to clients and third parties Follow up with third parties (e.g., lenders, brokers, law offices) via phone and email regarding active and closed files Monitor the firm’s email inbox every 15 minutes to ensure timely responses and follow-ups Answer calls from new client leads, provide general information, quote legal service pricing, and book consultations Assist in drafting signing documents for real estate closings and criminal files. Attending virtual COURT APPEARANCES (set dates) via zoom for criminal files. Docketing time staff and lawyer spent on active files on a daily basis. Docketing phione calls recieved and made on a daily basis Experience working with MS Office and managing confidential information is advantageous
Qualifications: Strong communication and interpersonal skills Excellent phone and email etiquette Strong proofreading skills with attention to detail are essential—accuracy is mandatory when handling client files and/or for legal research Highly organized, punctual, and reliable Ability to work independently and maintain strict confidentiality Must have reliable access to a vehicle for bank runs (valid driver’s license is an asset) Proficient with Microsoft Office, email platforms, online search engines and A.I. research tools (CLAUDE / PERPLEXITIY / CHATGPT PRO)

This position includes a 3 month probationary period to assess fit and performance. Following successful completion, a minimum 2 year commitment is strongly desired to ensure growth within the role.
