In this role, you will provide high-level executive support to Senator Farah Mohamed, an independent member of the Senate of Canada appointed in 2025. Senator Mohamed brings extensive leadership experience in the charitable and non-profit sector, with a focus on youth opportunity, education, and addressing systemic inequities in Canada and internationally.
As an Executive Assistant, you will play a key role in supporting the Senator’s parliamentary and public responsibilities by ensuring the efficient and effective operation of her office.
Key Duties & Responsibilities
Executive Administration
Manage the Senator’s calendar, travel arrangements, itineraries, and expenses; Prioritize daily workflows, and prepare briefing materials and agendas; Oversee inboxes, invitations, and meeting requests; Maintain organized filing systems, databases, and contact lists; Track deadlines, approvals, and office administration tasks.
Office Coordination & Operations
Facilitate daily operations and logistics for meetings and events; Liaise with internal and external offices regarding scheduling; Ensure materials and documents are accurate and produced on time; Support onboarding and coordination of interns, students, and visitors; Maintain organized systems and administrative processes.
Parliamentary & Political Awareness
Monitor parliamentary calendars and committee meeting schedules; Handle confidential and sensitive information with high discretion and judgment; Identify priority issues requiring immediate escalation; Support office priorities in maintaining professional relationships with constituents and stakeholders.
Communications Support
Draft routine correspondence and administrative communications; Coordinate with office team regarding media and stakeholder scheduling; Ensure all materials align with office standards.

Prerequisites
Post-secondary education in business administration, office administration, communications, or an equivalent combination of education and experience; Experience providing executive support in a professional office environment, including drafting correspondence, preparing briefing materials, organizing meetings, maintaining records and filing systems, supporting event coordination, managing logistics, and assisting with budget tracking; Exceptional multitasking, time management, and anticipation skills in a fast-paced environment; Proven ability to manage complex calendars and travel arrangements; Strong written and verbal communication skills with a professional, diplomatic approach; Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to work with internal administrative systems (Unit4 preferred); Ability to handle confidential and sensitive information with discretion and professionalism; In-depth understanding of parliamentary environments and sensitivity to political context; English is essential; bilingualism is considered a strong asset; Experience with digital communication platforms and content management tools is considered an asset.
