The Finance & Economic Development Department is seeking an auxiliary Purchasing Assistant to join their team. Reporting to the Manager, Purchasing, you will perform specialized administrative and technical work supporting the City’s procurement and purchasing functions.
Responsibilities
This role is responsible for coordinating procurement activities, preparing and reviewing tender and quotation documents, administering the City’s Purchasing Card Program, and supporting purchasing compliance requirements. You will play a key role in ensuring procurement documents, purchasing records, and related processes are accurate, complete, and compliant with City policies and public procurement requirements.
Responsibilities include reviewing, editing, and preparing Requests for Proposals (RFPs), Requests for Quotations (RFQs), Invitations to Tender (ITTs), and related procurement documents; coordinating tender postings and closings; preparing award and rejection correspondence; maintaining procurement files and records; administering purchasing card applications, audits, reconciliations, and compliance reviews; preparing purchase orders; compiling reports; assisting with annual inventory counts; and responding to inquiries from staff and vendors.
Requirements
The ideal candidate will have several years of related experience in procurement, purchasing, finance, or administrative roles, preferably in a public sector environment. You will have strong organizational, communication, and customer service skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment while working independently. Considerable knowledge of procurement practices, tendering processes, purchasing controls, and compliance requirements is essential. Experience with purchasing processes, financial systems, and document management systems is required.
Proficiency with Microsoft Office, Adobe Pro, PeopleSoft, CityDocs, BC Bid, Sitecore, and related systems is essential. Completion of post-secondary coursework in business, commerce, public administration, supply chain, or a related field would be considered an asset.
Compensation
$34.25 per hour + 12% in lieu of benefits
(Pay Grade 17 – 2026 rates)
